About the position

The Operations Coordinator, HB Coding at Northwestern Medicine is responsible for overseeing the daily operations of the Coding Department, ensuring compliance with regulatory standards, and providing leadership and support to the coding team. This role involves monitoring performance metrics, coordinating staff training, and implementing workflow processes to enhance efficiency and effectiveness within the department. The Operations Coordinator serves as a subject matter expert and plays a key role in maintaining data integrity and operational excellence.

Responsibilities

  • Oversee daily operations of the Coding Department.
  • Provide direction, orientation training, and mentoring of staff.
  • Monitor compliance with regulatory group standards in coding responsibilities.
  • Serve as Subject Matter Expert (SME) within the division.
  • Design and implement workflow processes to support continuous improvement.
  • Participate in continuing education and collaborate with Coding Educators.
  • Assist with employee engagement and promote teamwork.
  • Prepare division schedule for adequate daily coverage and support management A/R goals.
  • Collaborate with other divisions on maintaining content of the Team Site/SharePoint.
  • Counsel staff when minimum required performance is not achieved.
  • Review and analyze performance data and respond to inquiries from NMHC physicians and support staff.
  • Coordinate implementation of department-specific projects and lead system testing and staff training efforts.
  • Monitor staffing levels and work activity, supporting Coding management.
  • Collaborate with the Epic team to ensure efficient workflows.
  • Analyze and identify opportunities to reduce coding denials.
  • Assist with budget preparation and identify ideas for increasing efficiencies.
  • Participate in organizational meetings as required.
  • Train new hires and onboard contract coders.
  • Compile monthly productivity and quality statistics and report results to Coding Manager.
  • Facilitate staff huddles to educate team members and update resources on the Shared Drive.
  • Assist with administrative supervisory functions such as managing PTO requests and verifying timesheets.

Requirements

  • RHIT, RHIA or CCS credentialed.
  • 5 years of coding experience in an acute healthcare setting.
  • Leadership experience.
  • Critical thinking skills and decisive judgment.
  • Ability to work with minimal supervision and in a stressful environment.

Nice-to-haves

  • Bachelor's degree in a related field.
  • 7 years of coding experience in an acute healthcare setting.
