About the position

The Operations Coordinator at Naterra International, Inc. will play a crucial role in overseeing all operational customer deductions and coordinating with customers regarding damaged goods. This position requires effective communication with the Sales department to keep them informed about the status of returned items. The Operations Coordinator will be responsible for reviewing all claims data and leveraging cross-functional team interactions to investigate whether a deduction should be submitted as a dispute or if it serves as a catalyst for internal process improvement. This role will also focus on the logistics side of operations, working directly with the receiving department and concentrating on monthly reporting that showcases progress for management review. The reporting should capture data in a manner that can be utilized to enhance processes and resolve issues across both internal and external channels. In addition to these responsibilities, the Operations Coordinator will manage order processing, inventory reviews, and freight carrier communications, along with other tasks as needed to ensure daily orders are processed efficiently. Given the high demand for proficiency in Excel, candidates will be required to complete an Excel assessment during the interview process. Responsibilities

  • Manage claims for customers including freight, shortages, overages, damages, chargebacks, and any related commercial paperwork.
  • Identify issues with overages, shortages, and damaged freight; research solutions to resolve these issues.
  • Create Corrective Action Plans (CAP) when required.
  • Process and reconcile vendor and customer disputes.
  • Submit disputes through various methods (customer portal, email, online form, etc.).
  • Enter and process customer Return Authorizations (RAs) and file for RAs to all vendors.
  • Support the Customer Operations Manager in all aspects of order processing and perform other related duties as assigned.
  • Manage the Operations folder and ensure email responses are made within 24 hours.
  • Communicate professionally any issues or requests for changes to customer orders with Sales Managers.
  • Investigate discrepancies within customer allocations and provide detailed information to sales regarding any discrepancies.
  • Respond to carrier emails regarding damages and/or returns.
  • Enter, communicate, and allocate manual and sample orders received as needed.
  • Analyze orders as they are received, communicate with sales, allocate orders to the warehouse, and ensure routing is complete and on time; validate orders are ready to invoice as needed.

Requirements

  • At least two years of clerical experience is preferred.
  • An associate's degree in supply chain/logistics is preferred.
  • Strong attention to detail is mandatory.
  • Experience with computerized inventory systems is preferred; accounting knowledge is a plus.
  • Ability to organize and execute multiple tasks with high accuracy.
  • Strong problem-solving skills and a passion for investigation and discovery.
  • Ability to learn purchasing procedures and policies.
  • Proficient with Microsoft Office Suite or related software.
  • Excellent communication and interpersonal skills with warehouse workers, the purchasing department, and outside vendors.
