About the position

The Operations Coordinator plays a vital role in supporting the Governor's Office of Operations and Cabinet Affairs by ensuring seamless coordination of team deliverables and administrative functions. This position involves managing workflows, project management, and serving as a liaison between the Governor's Office and state agencies. The ideal candidate will be detail-oriented, organized, and proactive, contributing to the overall efficiency and effectiveness of the office.

Responsibilities

  • Serve as a liaison between the Governor's Office, state agencies, and external parties, facilitating ongoing communication.
  • Support Operations team leadership with workstream tracking and manage staff workloads.
  • Coordinate across the Governor's Office and state agency teams to align on deliverables and priorities.
  • Create and ensure timely delivery of briefing materials for the Governor and other leadership members.
  • Coordinate and attend all Operations team meetings, capturing notes and action items.
  • Help coordinate statewide training courses and support professional development functions.
  • Maintain the Operations team website and ensure public-facing information is accurate and accessible.
  • Provide technical support for hybrid and virtual meetings, managing logistics and troubleshooting issues.
  • Support the Operations Data Analyst with data collection and quality control as needed.
  • Coordinate all aspects of the Director of Operations' schedule and manage the calendar.
  • Lead event planning and logistics for team events and meetings.
  • Process meeting and speaking engagement requests.
  • Assist with hiring, onboarding, and offboarding processes for the Operations team.
  • Manage administrative requests and purchasing needs, including office supplies and expense claims.
  • Facilitate approval processes and manage document management for the Operations team.

Requirements

  • At least five (5) years of relevant experience in a related field.
  • Strong problem-solving, critical thinking, and pattern recognition skills.
  • Exceptional time management, organizational skills, and attention to detail.
  • Proficiency in Google Apps and Microsoft Suite; experience with Salesforce preferred.
  • Strong relationship-building skills and ability to collaborate effectively.
  • Excellent project management and coordination skills.

Nice-to-haves

  • A degree in political science, public policy, business administration, or a related field.
  • Previous experience in government or business administration, project management, or data analytics.
