About the position

The Washington State Fair Events Center is seeking a dedicated Support Coordinator to join the Operations department. This full-time position is essential for executing a variety of administrative and operational tasks that support the department's goals and the overall mission of the State Fair. The Support Coordinator will be directly responsible for coordinating work orders, managing projects, and providing support activities in collaboration with contractors, vendors, regulatory agencies, guests, and employees. A key aspect of this role is to deliver outstanding customer service and engagement, ensuring that all stakeholders receive the assistance they need in a timely and professional manner. In this role, the Support Coordinator will maintain the departmental Computerized Maintenance Management System (CMMS) and Project Management system. This includes setting up and organizing systems, performing data entry, tracking budgets, and generating reports related to work orders, project management, inventory, asset management, facility assessments, maintenance tracking, and invoice reconciliation. The Coordinator will also be responsible for coordinating purchasing functions for equipment and tools, adhering to established bid policies and practices, and providing support for capital projects, ecology, and groundwater initiatives. Additionally, the Support Coordinator will act as the permitting lead with the City of Puyallup and other relevant agencies, support trades departments, and serve as office backup. The role involves assisting with operational and capital budgeting processes, sorting resumes for open positions, scheduling interviews, and providing fair-time support for various operations departments, including shuttles and transportation. The Coordinator will also be involved in payroll support for the parking department during the annual State and Spring fairs, as well as other Fair-produced events. Flexibility is required, as additional hours may be necessary during peak fair times and events.

Responsibilities

  • Support the operations team and goals established by the department and State Fair.
  • Provide excellent customer service to contractors, vendors, regulatory agencies, concessionaires, staff, and visitors through various means of communication.
  • Maintain the departmental Computerized Maintenance Management System (CMMS) and Project Management system, including systems setup, data entry, budget tracking, and reporting functions.
  • Coordinate purchasing functions for equipment and tool ordering following established bid policies and practices.
  • Support capital projects, ecology, and groundwater initiatives.
  • Act as the permitting lead with the City of Puyallup and other State, County, and City agencies.
  • Provide support to trades departments and serve as office backup.
  • Assist with operational and capital budgeting processes.
  • Receive and sort resumes for open full-time positions within the Operations Department.
  • Schedule interviews as requested.
  • Provide fair-time support for various operations departments such as shuttles and transportation.
  • Support payroll for the parking department during annual State and Spring fairs and other Fair-produced events.
  • Perform other duties as assigned by management.

Requirements

  • High School diploma or equivalent; and 2-3 years related experience and/or training; or equivalent combination of education and experience.
  • General knowledge and experience in office techniques with knowledge of basic accounting, customer billing, and insurance.
  • Working knowledge and experience with Microsoft Office Suite.
  • Effective people skills, oral and written communication, and decision-making skills.
  • Flexibility, confidentiality, good phone etiquette, and the ability to respond appropriately in various situations.
  • Ability to work independently and as a contributing member of the Fair team, fostering a positive atmosphere.
  • Excellent organizational skills and high attention to detail.
  • Understanding of facility operations and techniques, with the ability to interpret administrative policies and guidelines.
