About the position

The Operations Inventory Coordinator (OCI) plays a crucial role in managing the front office operations at Optum, ensuring efficient coordination of supplies, vendor interactions, and administrative support for the local market leadership team. This position is integral to maintaining a well-organized and functional office environment, contributing to the overall mission of providing quality health care services.

Responsibilities

  • Manages front office by greeting customers, accepting deliveries, and coordinating with vendors necessary for office operations.
  • Responds to general inquiries via incoming calls, faxes, and in-person drop-ins.
  • Responsible for opening and closing the office, locking and unlocking doors, and maintaining a tidy waiting room and common areas.
  • Maintains supply inventories and follows established processes for ordering, storage, and auditing supplies, including medications and sterile equipment.
  • Ensures timely submission of vendor invoices for payment.
  • Packages and mails supplies and documents to remote employees.
  • Completes quarterly medication box audits as per national pharmacy leadership procedures.
  • Enters updates to the provider on-call schedule into the scheduling system and manages changes throughout the month.
  • Schedules local meetings requested by the local market leadership team and manages the calendar and agenda for all meetings.
  • Maintains market-specific email distribution lists.
  • Acts as a key liaison for facilities issues and interactions with building management.
  • Coordinates travel planning for local market leadership team members.
  • Organizes annual events for local employees, including catering and facility reservations.
  • Completes respiratory N-95 FIT testing certification and performs annual testing for patient-facing employees.
  • Supports market teams by scanning physical documents for patient charts as needed.

Requirements

  • High School Diploma or GED
  • Healthcare experience
  • Ability to float between locations: Dublin, OH and Sharonville, OH

Nice-to-haves

  • Certified Medical Assistant Certification
