About The Position
The Operations and Inventory Coordinator plays a crucial role in overseeing the administrative functions of the office and managing office-based inventories to ensure a smooth, efficient, and productive flow of business operations. This position is essential for maintaining the operational integrity of the office environment, which includes managing supplies, coordinating with vendors, and ensuring that all office functions are executed seamlessly. The coordinator will be responsible for greeting visitors, accepting deliveries, and responding to general inquiries through various communication channels such as phone calls, faxes, and in-person interactions. Additionally, the role involves opening and closing the office, maintaining tidy common areas, and ensuring that the office is welcoming and organized for both staff and visitors. A significant part of the role includes maintaining supply inventories, which involves following established processes for ordering, storage, and auditing of both general office and medical supplies, including medications and sterile medical equipment. The coordinator will ensure that invoices from vendors are submitted for timely payment and will package and mail supplies and documents to remote employees as needed. Regular audits of medication boxes will be conducted in accordance with procedures set by the national pharmacy leadership team. The coordinator will also manage the provider on-call schedule, schedule local meetings, and maintain market-specific email distribution lists. This position serves as a key liaison for facilities issues and interactions with building management, coordinates travel planning for local market leadership, and organizes annual events for local employees. The role requires the completion of company-provided respiratory FIT testing certification and performing annual FIT testing for patient-facing employees. Overall, the Operations and Inventory Coordinator is vital in supporting the operational needs of the market teams and ensuring compliance with established protocols.
