About the position

COLAB LAX is a dynamic digital marketing agency with a presence in Los Angeles, Dubai, and Karachi. We are on a mission to expand our U.S. client base while also venturing into international markets. We are seeking an Operations Manager who possesses a robust background in Project Management and Operations specifically within the digital marketing sector. This role is pivotal as we scale our operations, and we are looking for someone who can effectively address internal resource and operational challenges. Your insights into project management, team resources, and workflows will be crucial in enhancing our digital marketing activities. As the Operations Manager, you will oversee the efficiency of processes and workflows for our digital marketing teams across both U.S. and international offices. This includes departments such as Web Development, SEO, Design, Social Media, and Video Production. You will be responsible for setting resource allocation strategies, defining project goals, and establishing timelines to manage results effectively. Your role will also involve refining existing processes and workflows, ensuring that they are implemented company-wide, and that all team members are clear on their roles and responsibilities. In addition, you will develop Key Performance Indicators (KPIs) to monitor internal resource allocation and performance, ensuring that these KPIs are consistently met. As new clients and projects come in, you will allocate internal resources accordingly and oversee project management for all deliverables. Supporting Account Managers to maintain timely deliverables will also be a key part of your responsibilities. You will gather, track, and analyze data related to internal resource allocation and performance, and work on building and automating project management processes and workflows using tools like Asana. Furthermore, you will develop training materials and frameworks for various departments, ensuring that new employees receive comprehensive training. As our internal resource needs evolve, you will manage staffing requirements and initiate the hiring process when necessary.

Responsibilities

  • Oversee processes and workflow efficiency for digital marketing teams in U.S. and international offices, including Web Development, SEO, Design, Social Media, and Video Production.
  • Set resource allocation strategies, project goals, and timelines; Manage results.
  • Refine processes and workflows and roll them out across the company.
  • Ensure team members understand their roles and responsibilities.
  • Develop KPIs to track internal resources; Ensure KPIs are being met.
  • Allocate internal resources as new clients and projects come in; Set up and oversee project management for all projects based on deliverables.
  • Support Account Managers to maintain deliverables on time.
  • Gather, track, and analyze data related to internal resource allocation and performance.
  • Build and automate project management processes and workflows in Asana.
  • Develop training materials and frameworks for departments and ensure new employees receive proper training.
  • Manage staffing needs as internal resource needs change and grow.
  • Initiate and manage hiring process when new resources are required.

Requirements

  • 5+ years in Project Management and/or Operations for a digital marketing agency.
  • Strong understanding of project management processes, workflows, and timelines.
  • Proficiency in project/workflow management software and tools (e.g., Asana, Airtable, Trello, Agency Analytics, Slack) and Google Office suite.
  • Experience growing the Operations of a digital marketing agency is a plus.
