About the position

The Operations Manager at Duke University's Fuqua School of Business is responsible for leading business administration within the Global Marketing group. This role focuses on maintaining operational excellence across various functions, including finance, budgeting, personnel management, and policy development. The Operations Manager supervises staff inputs to finance and accounting activities, ensures compliance with university policies, and identifies gaps in procedures to create effective remedies. This position is integral to the Global Marketing Leadership Team, aiming to achieve departmental goals through strategic support and operational management.

Responsibilities

  • Manage the department's budget and financial management processes.
  • Coordinate annual budget development and monitor transactions.
  • Lead monthly budget meetings with departmental leadership.
  • Serve as the primary liaison with Fuqua's Accounting team.
  • Develop and maintain systems for IT vendor payments and digital account management.
  • Manage logistics for vendor teams and agency liaison activities.
  • Provide administrative support for the Associate Dean and Global Marketing Leadership Team.
  • Identify gaps in departmental policies and create remedies.
  • Coordinate recruitment and onboarding processes for new staff.
  • Manage operational needs including equipment repair and supply ordering.

Requirements

  • Bachelor's degree in a related field.
  • 6-8 years in office management, executive administration, or related roles.
  • Proven track record in managing complex, cross-functional projects.
  • Demonstrated experience in financial planning and budget management.
  • Strong knowledge of Duke accounting system and procedures.
  • Excellent judgment and ability to manage multiple projects under firm deadlines.

Nice-to-haves

  • Background in non-profit management, marketing operations, or higher education.
  • Experience supervising, mentoring, or managing personnel.
