About the position

The Operations Manager II is responsible for leading a small team that provides operational support to the Global Scientific Publications (GSP) Team. This role involves managing vendor relationships, overseeing publication processes, and ensuring effective budget management while fostering team development and growth.

Responsibilities

  • Manages a team of 3-6 direct reports.
  • Supports all vendor and contracts for GSP, ensuring accuracy for monthly budget forecasts.
  • Trains vendors on policies and procedures and maintains relationships with them.
  • Performs invoice analysis and budgetary reconciliation across GSP.
  • Facilitates interpretation and understanding of data, identifying issues and cost savings through LBE meetings.
  • Compiles data and reports metrics and KPIs from various sources, preparing routine and ad hoc reports for financial and budget tracking.
  • Creates yearly congress calendars and trackers, managing QR codes for scientific posters, including printing and shipping.
  • Facilitates the Encore Abstract and Poster process, adjusting original abstract content to encore content using A.I.
  • May support routing of IIS, PAA, LP, and other publications through the publication system for 1070 approval.
  • Interacts with various levels of management and functions within the organization.

Requirements

  • BA/BS degree, preferably in Science, Healthcare, Business, or Project Management.
  • 4+ years of related work experience, including 2+ years in Project/Process Management, Publications Management, Medical/technical writing, or Compliance.
  • People management experience preferred.
  • Experience in a research and development environment preferred.
  • Demonstrated negotiation skills, project management skills, and effective communication abilities.
  • Contract negotiation experience in a scientific setting is required.
  • Management experience in contracts, budgets, and clinical site/sponsor relationships preferred.
  • Advanced problem-solving skills in a team environment.
  • Excellent negotiation or influencing skills.
  • Ability to manage internal and external relationships effectively and independently.
  • Process-oriented with the ability to manage multiple projects concurrently.

Nice-to-haves

  • Customer support focused expertise is highly desirable.
  • Proficient in Microsoft Office suite, SharePoint/database, and internet tools.
