About the position

The Law Library Operations Manager at the Robert W. Hainsworth Law Library is responsible for overseeing the administrative functions of the law library, including budget preparation, vendor management, and collaboration with various county departments. This role requires a high level of organization, communication, and legal research skills, as well as the ability to work independently under the direction of the Law Library Director.

Responsibilities

  • Assist with the development and preparation of the annual law library budget.
  • Request vendor purchase orders and change orders in collaboration with Buyers for the Purchasing Agent.
  • Receive and approve law library invoices for payment and resolve discrepancies.
  • Maintain the Law Library Invoice Approval Log detailing invoice payments and expenditures.
  • Create and submit law library expense reports for payment approval.
  • Maintain and audit the Law Library Change Fund and records of deposit for the Copy Center Operations.
  • Develop and maintain relationships with law library stakeholders.
  • Participate in the selection, interviewing, and hiring process for new law library employees.
  • Maintain and update personnel files for law library employees.
  • Process paperwork related to requests for conferences, continuing education, and travel.
  • Draft and submit agenda items for Commissioners Court approval.
  • Negotiate contracts with vendors for law library products and services.
  • Collaborate with the Purchasing Agent's Office and the County Attorney's Office to manage vendor contracts.
  • Assist with the resolution of law library facilities and technical issues.
  • Manage and order supplies for the law library.
  • Suggest library materials for acquisition, de-selection, and archiving.
  • Contribute to the overall organization of the law library by maintaining its appearance.

Requirements

  • Post-secondary degree or equivalent experience required.
  • 5 years of management experience in a law library setting.
  • Proficiency with Microsoft Office Suite, Windows, Westlaw, and Adobe.
  • Excellent attention to detail and interpersonal communication skills.
  • Strong business management and administrative skills.
  • Excellent legal research and reference skills with expertise in print and electronic resources.
  • Ability to perform in-person and online e-notary services as a Traditional and Online Notary Public in Texas.

Nice-to-haves

  • Master of Library Science (MLS) or Master of Library and Information Science (MLIS) degree from an ALA accredited program.
  • Knowledge of EOS.Web® Express integrated library system.
  • Experience in budget and personnel management.
