About the position

The Operations Manager for the Visa Application Centre in San Francisco is responsible for overseeing the unit's efficiency and productivity while ensuring compliance with all processes as per the Critical Service Levels and reporting requirements from the Embassy/Consulate. This role involves managing the profitability of the center, developing business relationships, and implementing process enhancements to improve quality and efficiency.

Responsibilities

  • Manage the overall responsibility of the Visa Application Center in San Francisco.
  • Direct responsibility for the VAC's profitability and achieving EBIT targets set by the Zone/Region.
  • Develop and maintain business relationships with all Consulate officials.
  • Ensure compliance with existing processes and meet defined Critical Service Levels (CSLs).
  • Mentor teams to adhere to all SOPs/processes from an operational and ISO perspective.
  • Manage unit and staff efficiency and productivity.
  • Implement process enhancements to improve quality and efficiency of the unit.
  • Encourage team to share 'Spark Ideas' and best practices.
  • Control and maintain unit's expense budgets and allocated resources.
  • Conduct product and process training for all staff regularly.
  • Manage security (physical and data) at the VAC to prevent breaches.
  • Liaise with support functions for ongoing issues and IT developments.
  • Forecast manpower needs, especially for peak seasons, and conduct interviews as needed.

Requirements

  • Bachelor's degree from an accredited university.
  • Minimum 2 years of experience in operations, preferably in VISA/Passport services.
  • Prior experience managing a mid-sized team.
  • Experience in managing processes and leading projects is a plus.
  • Proficiency in MS Office, especially Excel.
  • Ability to handle complaints and escalations with adaptability.
  • Innovative mindset to enhance procedures for productivity and cost-effectiveness.
  • Professional level of written and spoken communication for interactions with VAC staff.

Nice-to-haves

  • Knowledge of any primary language of India is an advantage.
