About the position

The Operations Manager at Village Green plays a crucial role in assisting the Property Manager with the daily operations of the community, focusing on accounts receivable and leasing activities. This position also involves performing the Property Manager's duties in their absence, ensuring smooth management of property operations and resident relations.

Responsibilities

  • Establish and maintain good relations with residents, prospective residents, and vendors.
  • Maintain controls over Accounts Receivable, including applying payments to resident ledgers and making daily bank deposits.
  • Follow up with residents for prompt payment through calls and collection notices.
  • Maintain current and complete property management software information, inputting daily activities such as move-ins and move-outs.
  • Administer the lease renewal program, generating and delivering renewal letters and leases.
  • Ensure follow-up calls for residents who give notice to vacate.
  • Generate and deliver general correspondence to residents and vendors, including lease violations and application rejection letters.
  • Inspect move-out conditions to document charges before refunding security deposits.
  • Generate security deposit refunds or reimbursements and maintain a collection policy for residents with outstanding balances.
  • Assist in marketing long-term vacant units and monitor property conditions, reporting concerns to the property manager.
  • Communicate courteously and professionally with all contacts, maintaining confidentiality.
  • Perform general office duties, including answering phones and preparing invoices in the absence of the Property Manager.
  • Responsible for the performance metrics of the leasing staff and reporting any performance issues to the Property Manager.

Requirements

  • Bachelor's degree in a relevant field.
  • Previous experience in an operational role, preferably in property management.
  • Strong computer skills, particularly in Microsoft Word and Excel, and experience with property management software like Yardi.
  • Ability to work in a fast-paced environment with exceptional attention to detail.
  • Basic understanding of accounting principles and good organizational skills.
  • Previous experience as a Leasing Consultant or Assistant Manager.
  • Supervisory skills and a real estate license are preferred.
  • Effective communication skills and a team-oriented mindset.
