About the position

The Operations Manager at Whitington Homes and Services is responsible for ensuring the smooth operation of the organization by overseeing administrative tasks, managing office procedures, and supporting various departments. This role is crucial in maintaining productivity and compliance while contributing to the mission of providing essential services to children and families in need.

Responsibilities

  • Implement and maintain office policies and procedures to enhance productivity, compliance, and accreditations.
  • Manage office supplies, equipment, and facilities to support a conducive work environment and ensure efficient workflow.
  • Manage day-to-day HR functions including providing and tracking training.
  • Manage day-to-day IT functions in coordination with outside vendors.
  • Provide administrative support to various departments.
  • Assist in onboarding new employees and volunteers, including training on office protocols and software tools.
  • Collaborate with departments to understand their administrative needs and provide solutions.
  • Serve as a point of contact for internal and external stakeholders, maintaining a professional and welcoming demeanor.
  • Manage phone calls, emails, and other forms of communication, redirecting inquiries as needed.
  • Prepare and distribute memos, announcements, and communications internally and through social media.
  • Maintain accurate and organized records, including employee files, donor information, and training documentation.
  • Ensure compliance with data protection and privacy regulations when handling sensitive information.
  • Support the planning and execution of events, workshops, and fundraisers.

Requirements

  • A bachelor's degree or equivalent work experience.
  • Proven experience in office management or administrative roles, preferably within a nonprofit or child services organization.
  • Strong organizational skills with a keen attention to detail and the ability to prioritize tasks effectively.
  • Proficiency in office software and tools.
  • Excellent verbal and written communication skills, with the ability to interact professionally with diverse groups.
  • Understanding and commitment to the mission and values of the nonprofit child services company.
