About the position

The Pearl Works is seeking a dynamic Operations & Member Success Coordinator to support the growth and success of both The Pearl Works and TreeHouse Mortgage Group, located in Monterey, CA. This is an in-person role in a shared workspace where you will work closely with multiple organizations, primarily focusing on creating a positive and engaging experience for members, clients, and guests. The Pearl Works is a coworking and meeting space that emphasizes human connection and focus, while TreeHouse Mortgage Group is a women-led mortgage company dedicated to creating meaningful experiences. In this role, you will be responsible for ensuring smooth business operations while keeping the community experience at the forefront. Your day-to-day tasks will vary, making it essential for you to thrive in a dynamic environment. You will play a vital role in managing physical operations, tech systems, lead conversion, and member onboarding. Your contributions will help create a welcoming and efficient atmosphere that enhances the overall experience for everyone involved. Responsibilities

  • Open and close the coworking space.
  • Manage mail processing and respond to client requests daily.
  • Maintain a clean, peaceful, and welcoming coworking environment.
  • Ensure supplies are stocked and coordinate property maintenance.
  • Create and manage trackable marketing links and maintain event calendars.
  • Develop and maintain CRM, member portals, and client databases for both businesses.
  • Schedule social media posts and create signage for events using Canva.
  • Handle monthly expense preparation and reporting for the bookkeeper.
  • Manage support tickets with software companies and troubleshoot issues for clients.
  • Provide warm and personalized greetings to members and visitors.
  • Ensure positive and responsive interactions with virtual mail clients and in-person members.
  • Handle phone inquiries, build rapport, and guide potential clients through the sales cycle.
  • Lead tours of the coworking space that highlight its value and convert visitors into members.
  • Seamlessly onboard new members onto tech platforms, physical space, and community (welcome emails, Slack invites, etc.).
  • Schedule and host onboarding meetings to introduce new members to the space and its resources.
  • Ensure virtual mail clients are confident in using the tech systems to manage their mail.

Requirements

  • Experience in customer service and creating positive experiences for clients.
  • Proficiency in software troubleshooting and tech-savvy skills.
  • Ability to manage multiple tasks and prioritize effectively.
  • Strong attention to detail and operational mindset.
  • Experience with Canva for creating marketing materials and signage.
