About the position

The Operations Office Coordinator plays a crucial role in supporting the operations, office sales, and finance team under the direction of the Environmental Services Operations Manager. This position serves as a point of reference for colleagues and clients, ensuring effective communication, schedule management, and documentation. The primary goal is to facilitate team activities to enhance performance and contribute to the company's long-term development.

Responsibilities

  • Coordinate sales team by managing schedules, filing important documents, and communicating relevant information.
  • Oversee and control material & equipment inventory to ensure accuracy.
  • Ensure the adequacy of related cleaning equipment or material.
  • Assist staff with deliveries and ensure inventory checking.
  • Oversee completion and collection of benefit request forms from staff members.
  • Process bi-weekly hourly union associates using ABI Master Mind timekeeping system.
  • Create and manage Excel spreadsheets using formulas.
  • Order materials and supplies as needed.
  • Respond to customer complaints and provide after-sales support when requested.
  • Store and sort financial and non-financial data in electronic form and present reports.
  • Handle the processing of all orders with accuracy and timeliness.
  • Inform clients of unforeseen delays or problems.
  • Monitor the team's progress, identify shortcomings, and propose improvements.
  • Assist in the preparation and organization of promotional material or events.
  • Ensure adherence to laws and policies.
  • Assist newer employees with acclimation to the center and provide on-the-job demonstrations and coaching.
  • Perform additional duties and tasks as assigned.

Requirements

  • High school diploma or equivalent; minimum of associate's degree.
  • Three (3) years' proven experience in sales as a sales coordinator or in other administrative positions.
  • Customer service experience in an office setting or equivalent.
  • Experience in the hospitality industry is a plus.
  • Good computer skills; well-organized and responsible with an aptitude in problem-solving.
  • Knowledge of methods, tools, materials, and equipment used, applicable safety codes and regulations.
  • Excellent oral, written, and listening communication skills; pays close attention to details.
  • Dedicated to meeting the expectations and requirements of internal and external customers; establishes and maintains effective relationships.

Nice-to-haves

  • Experience in the hospitality industry.
  • Familiarity with ABI Master Mind timekeeping system.
