About the position

The OWL Payroll Coordinator is a vital role responsible for the timely and accurate entry and auditing of driver pay for the OWL Central location. This position requires daily interaction with drivers, serving as the main point of contact for all payroll-related inquiries. The coordinator will be tasked with accurately entering payroll-related data to ensure compliance with deadlines, maintaining payroll information by collecting, calculating, and entering data into the TMW Settlements system while adhering to company policies and procedures. In addition to processing payroll, the coordinator will review and verify RFAP (Request for Additional Pay) sheets daily, inputting all delays, stops, hourly work, training, and breakdowns into the system accurately. Weekly payroll processing in settlements and reconciling errors is a critical function of this role. The coordinator will also enter pay adjustments for vacation, call-in vacation, or unexcused daily into the HRIS System and ensure that flat rate drivers' timesheet scans are tracked. The position involves performing daily and weekly payroll audits to verify the accuracy of information, researching and resolving payroll discrepancies, and providing customer service to associates in a confidential and professional manner. The coordinator will assist with guidance, education, and answers to associates' questions regarding pay statements and assist with internal or external payroll audits. Maintaining confidentiality and professionalism with associate and business information is paramount. Additionally, the coordinator will develop Standard Operating Procedures (SOPs) for payroll processes and may participate in project teams for new initiatives, create and conduct system training as needed, and provide backup for dispatch and driver scheduling tasks.

Responsibilities

  • Accurately key payroll related data to process and adhere to deadlines.
  • Maintain payroll information by collecting, calculating, and entering data into the TMW Settlements system ensuring company policies and procedures are followed.
  • Review and verify RFAP (Request for Additional Pay) sheets daily and input all delays, stops, hourly work, training, and breakdown into accurate system.
  • Process weekly payroll in settlements and reconcile all errors.
  • Enter pay adjustments for vacation, call-in vacation, or unexcused daily into HRIS System.
  • Ensure flat rate drivers timesheet scans are tracked.
  • Perform daily and weekly payroll audits to verify accuracy of information.
  • Research and resolve payroll discrepancies, submitted requests as required.
  • Provide customer service to the Associates in a confidential and professional manner.
  • Assist with guidance, education, and answers to Associates questions regarding pay statements and questions.
  • Assist with internal or external payroll audits.
  • Always maintain a confidential and professional manner with Associate and business information.
  • Develop SOP's for payroll processes.
  • Create and maintain tracking systems.
  • Participate on project teams for new initiatives.
  • Create and conduct system training as needed.
  • Dispatch back up.
  • Answering phone calls.
  • Breakdown, check-in, and scan in driver trip sheets.
  • Update Totalmail messages and Carrierport.
  • Assign drivers to the schedule and to most TMW orders.
  • Post driver assignments for line hauls and shuttles.
  • Prepare trip sheets and packets for all Central drivers.
  • Prepare both Dispatch shared schedule and Driver Schedule.

Requirements

  • High School Diploma or GED required.
  • Associates Degree in Business or Human Resources preferred.
  • 1-2 Years of Experience in Payroll or related field.
  • Strong PC skills required (Microsoft Office Suite) including Excel, PowerPoint, and Word.
  • Strong Analytical Skills.
  • Excellent communication skills.
  • Attention to detail and deadline driven.
  • Prior experience with Accounting principles or financial software preferred.
  • Self-starter who follows issues through to resolution.
  • Organized with the ability to multi-task and prioritize.
  • Able to work alone in areas of core competence with minimal guidance and constant interruption.
  • The ability to always maintain a calm and respectful demeanor with others.
  • Ability to work overtime on weekends or holidays to meet payroll deadlines.

Nice-to-haves

  • Experience with financial software is a plus.
  • Prior experience in a logistics or transportation environment.
