About the position

The Operations Production Coordinator will play a crucial role in the production team for the upcoming entertainment experience 'Bob Marley Hope Road' at Mandalay Bay Resort and Casino. This full-time position requires a highly organized and self-motivated individual who can manage multiple projects and priorities effectively. The coordinator will oversee various operational aspects, including travel arrangements, meeting management, and budget tracking, while providing essential HR support and maintaining production schedules.

Responsibilities

• Oversee the operations of the production office.
• Administer the travel and housing programs for the management, creative, and production teams.
• Organize, set, and manage meeting requests and calendars.
• Create, maintain, and distribute contact sheets, vendor process tracking, status reports, weekly reports, and meeting minutes.
• Provide HR support as required, including drafting job descriptions and managing online postings.
• Monitor project status updates and schedules regularly and accurately.
• Maintain a high-level production schedule.
• Track operations budgets, payment of invoices, vendor contracts, and deliverables.
• Assist with purchasing, warehousing, and delivery protocols.
• Manage the company file management system, including structure and permissions.
• Assist in departmental organization and administration as required.

Requirements

• Bachelor's degree and/or 3-5 years of equivalent experience with live entertainment/events.
• Solid working knowledge of Microsoft applications.
• Strong problem-solving abilities and ability to remain calm under pressure.
• Ability to meet the physical requirements of the job, including navigating through crowds and standing for extended periods.

Nice-to-haves

• Experience managing theatrical/live event budgets.
• Experience managing travel and/or accommodations for a team.
• 3+ years experience in large scale, live event productions.
