About the position

The Operations Project Coordinator will play a crucial role in supporting the Project Executive and Project Managers in the successful execution of various projects. This position is designed for individuals who are self-motivated, punctual, and possess a professional demeanor. The Operations Project Coordinator will be responsible for a variety of tasks that are essential for the smooth operation of projects, including managing documentation, coordinating with subcontractors and general contractors, and ensuring compliance with Davis-Bacon requirements. The role requires excellent written and verbal communication skills, as the coordinator will need to interact with various stakeholders and maintain clear lines of communication between the office and the field. In addition to communication, the Operations Project Coordinator will manage the Plans and Specifications document, ensuring that all necessary documents are distributed appropriately. They will also build a Submittal Register tailored to specific project requirements and work closely with Project Managers to filter and track submittals and resubmittals from suppliers and subcontractors. The coordinator will be responsible for logging and tracking equipment for assigned projects, compiling essential documents such as As-Builts, Start-Up Reports, O & M's, Warranties, and Owner training materials. Furthermore, they will update project documentation to reflect current information and assist in tracking manpower projections to ensure that project needs are met. The Operations Project Coordinator will also play a key role in ensuring that project billings are processed according to contractual documents and that project budgets are entered into the accounting software accurately. Adherence to company policies and contractual standards is paramount, and the coordinator will be expected to perform other duties as directed to support the overall success of the projects.

Responsibilities

  • Assist Project Managers in the day-to-day operations of completing a successful project.
  • Coordinate Davis-Bacon paperwork and requirements with Payroll, Subcontractors, and General Contractors.
  • Submit and coordinate job site badging and access, including maintaining a log.
  • Manage Plans and Specifications document management and distribution.
  • Build Submittal Register per specific project based on specifications and requirements.
  • Work with Project Managers on filtering necessary submittals.
  • Request, coordinate, log, and track submittals/resubmittals from suppliers and subcontractors.
  • Log and track equipment for assigned projects.
  • Compile As-Builts, Start-Up Reports, O & M's, Warranties, and Owner training materials.
  • Update project documentation to ensure up-to-date communication between office and field.
  • Ensure monthly forecasts are updated per project requirements.
  • Assist with tracking short/long term manpower projections.
  • Ensure project billings are occurring per contractual documents.
  • Enter project budgets from estimating into accounting software.
  • Ensure that job processes are followed in accordance with company policies.
  • Ensure company contractual standards are met prior to commencing work.
  • Perform other duties as directed and deemed necessary.
