About the position

The Operations Coordinator position at Five SmoothStones AV, a division of Atlantic Home Technologies, Inc., is a full-time role based in Jacksonville, FL. This position is being filled due to company growth and will report directly to the Director of Operations. The Operations Coordinator will play a crucial role in supporting the Director by managing various scheduling tasks and ensuring that all operations run smoothly. The successful candidate will be responsible for updating job statuses, managing work calendars, and assisting with scheduling requests from builders and residential customers. This role requires a proactive approach to problem-solving and excellent communication skills to provide outstanding service to customers and colleagues alike. In this position, the Operations Coordinator will assist in adding, deleting, rescheduling, and updating job statuses on the company work calendars. They will also be responsible for verifying that all job documentation is in order and ready for the crews to begin work. The coordinator will track crews and their routes using live GPS maps and dashboards, ensuring that all required documentation and work status reports are completed for billing purposes. The role demands a high level of attention to detail and the ability to multi-task effectively in a fast-paced environment. The Operations Coordinator will also be expected to work collaboratively with other departments to enhance customer experiences and contribute to a positive team environment. Responsibilities

  • Provide support to the Director of Operations.
  • Assist in adding, deleting, rescheduling, and updating statuses of jobs on the company work calendars.
  • Update all required information in company systems (Google Calendar, iPoint, SupplyPro).
  • Assist in the scheduling of incoming telephone and online scheduling requests by builders and residential customers.
  • Verify jobs are documented, all paperwork is in order and ready for work by crews.
  • Assist in tracking crews, routes, work needing to be rescheduled or re-routed throughout the day using LIVE GPS maps & dashboard.
  • Ensure crews complete all required documentation and work status reports for billing as complete or left to be done for rescheduling.
  • Provide excellent service during all customer interactions - verbal, written or electronic.
  • Work with other company departments and co-workers to provide excellent customer experiences.
  • Work to learn, grow, and increase your work skill set for advancement opportunities.

Requirements

  • High School diploma or equivalent.
  • 2+ years working in a customer service position either coordinating or performing.
  • Track record of working well in a team environment.
  • Knowledge of the residential construction, security, home technology, or audio video industries is a PLUS.
  • Consistent record of attendance, reliability, and integrity.
