About the position

The Operations Specialist position at Stanford University is a 2-year fixed-term role within the Department of Molecular and Cellular Physiology. This position provides administrative and operational support to prestigious research labs, including those led by Nobel Laureates. The role is ideal for individuals seeking entry-level administrative experience in a dynamic academic environment. The Operations Specialist will work closely with a team of administrative professionals to support faculty, research staff, and students, with the potential for transitioning to a long-term role based on performance and departmental needs.

Responsibilities

  • Manage lab orders and work with vendors
  • Process reimbursements and handle scheduling and travel management
  • Onboard new lab members and assist with lab communication
  • Support faculty with grant-related documents and teaching activities
  • Play a key role in supporting department events, including the annual fall scientific retreat
  • Respond to inquiries and determine appropriate actions as required
  • Perform duties associated with scheduling, organizing, and operating conferences, seminars, and events
  • Draft and generate routine communications and coordinate production of documents
  • Plan and schedule calendars, resolve conflicts, and arrange travel
  • Process and monitor routine financial transactions
  • Maintain office supplies and equipment and coordinate office moves
  • Serve as the point of contact for general maintenance and safety concerns
  • Maintain approved content on websites
  • Perform human resources transactional support as needed
  • Guide and train student and contingent workers

Requirements

  • High school diploma and three years of administrative experience, or a combination of education and relevant experience
  • Proficient computer skills and demonstrated experience with office software and email applications
  • Strong organizational skills and attention to detail
  • Strong verbal and written communication skills
  • Excellent customer service and interpersonal skills
  • Ability to prioritize and multi-task
