About the position

The Operations Specialist role at Navy Exchange involves assisting higher graded specialists in determining contracting requirements for fixtures, equipment, and associated services. The position ensures that resources are available to support the needs of NEX stores and projects, while adhering to NEXCOM standard procedures. The specialist will also provide procurement support, maintain databases, and communicate with vendors to meet the requirements of the organization.

Responsibilities

  • Assist higher graded Specialist with determining NEX needs regarding fixtures and equipment contracts.
  • Conduct research and make recommendations on economical industry standards that meet store needs.
  • Assist with preparing specifications and work closely with HQs Contracting Department to develop contracts as necessary.
  • Act as Contracting Office Representative (COR) for managed Fixture and Equipment contracts.
  • Provide timely procurement support for assigned projects and initiatives, ensuring equipment arrives just-in-time for execution timelines.
  • Prepare and maintain updated source lists of available options for equipment purchases.
  • Develop procedures and MOUs with other agencies to utilize existing contracts and disseminate those procedures to the field.
  • Remain knowledgeable on current fixture and equipment trends and communicate with vendors for assistance in preparing specifications.
  • Maintain a working knowledge of Lawson for project and field related procurement inquiries.
  • Provide procurement timelines tracking information and updates to field associates and ledgers as required.
  • Maintain and assist with recommendations to improve Fixture Equipment Standards.
  • Maintain a database of all FE required in NEX retail facilities, including cost analysis and fixture capacity needs.
  • Maintain Code NP Hub and Team site as a cross-reference resource for project documentation.
  • Act as a cardholder managing a NAF Purchasing Card for procurement of Fixtures and Equipment.

Requirements

  • Three years of experience in administrative professional or responsible work related to project timeline understanding and retail fixtures/equipment knowledge.
  • Outstanding organizational skills for tracking project and equipment requirements and procurements.
  • One year of progressively responsible experience demonstrating knowledge of procurement and contracting methods and techniques.
  • Hands-on experience with Microsoft Excel, Microsoft Office Suite, Microsoft SharePoint, and retail floorplans.

  • Bachelor's degree in business administration or related field.
