About the position

As an Operations Specialist in Scheduling and Cell Logistics at Innova Solutions, you will play a crucial role in ensuring the smooth operation of patient scheduling and logistics for apheresis centers and manufacturing sites. This position serves as the initial and primary point of contact for scheduling, coordinating with various stakeholders including couriers and logistics partners. Your responsibilities will include creating and maintaining patient schedules, monitoring collection and delivery activities, and troubleshooting any issues that arise throughout the patient journey. You will be expected to interact with both internal and external stakeholders via phone and email, ensuring a positive customer experience throughout the process. In this role, you will execute urgent escalations, facilitate product returns and replacements, and maintain transactional data related to patient schedules within the scheduling system. You will actively participate in tactical meetings and facilitate daily operations activities, including shift turnover on a rotating basis. Providing real-time scheduling portal support to external users and triaging requests within the case management system will also be part of your duties. Additionally, you will be required to provide on-call and holiday support as assigned, demonstrating flexibility and adaptability in a fast-paced environment. The ideal candidate for this position will be highly self-motivated and professional, with a strong customer service orientation. You should be skilled at managing tense situations and de-escalating conflicts, eager to collaborate with teams from diverse regions and cultures. A strong sense of ownership and accountability is essential, as is the ability to work independently and as part of a team. Fluency in English, both written and spoken, is required to effectively communicate with stakeholders.

Responsibilities

  • Act as initial and primary scheduling point of contact for apheresis centers, manufacturing sites, couriers, and other logistics partners.
  • Create and maintain patient schedules in coordination with apheresis centers, manufacturing sites, treatment sites, and third-party logistics.
  • Monitor collection, delivery, transportation, and manufacturing activities.
  • Troubleshoot and develop plans of action for issues throughout the patient journey.
  • Interact with internal and external stakeholders over the phone and email.
  • Ensure a positive end-to-end customer experience.
  • Execute urgent escalations and facilitate product returns and product replacements.
  • Input and maintain transactional data related to patient schedules within scheduling system.
  • Actively participate in tactical and other meetings as assigned.
  • Facilitate daily operations activities and meetings including shift turnover on rotating basis.
  • Provide real-time scheduling portal support to external users.
  • Monitor and triage requests and issues within the case management system.
  • Provide on-call and holiday support as assigned.

Requirements

  • Bachelor's degree or equivalent work experience.
  • 3+ years of work experience in scheduling, planning, operations, logistics, and/or supply chain.
  • Experience working in Salesforce CRM, APEX, Oracle, SAP, and/or other comparable planning/scheduling/execution systems is preferred.
  • Experience working in a regulated environment (cGMP/FDA) is preferred.
  • Must have strong proficiency with Office 365 software, especially Outlook, Excel, PowerPoint, and Word.
