Livwell Brands is seeking an Operations Specialist to join our innovative and dynamic team at our headquarters in Hallandale Beach, FL. The Operations Specialist will play a crucial role in managing and streamlining daily operational tasks to ensure the smooth processing of orders through Electronic Data Interchange (EDI). This position is integral to providing exceptional customer support, managing purchasing activities, and maintaining financial records using QuickBooks. In this role, you will work closely with the CEO, assisting in various tasks while also supporting sales and marketing initiatives to drive company growth. Your responsibilities will include monitoring and processing incoming and outgoing orders through EDI, ensuring accurate and timely data entry, and resolving any discrepancies. You will also provide exceptional customer service by responding to inquiries, managing customer accounts, and maintaining accurate records of customer interactions. Additionally, you will help manage the procurement of goods and services, ensuring timely delivery and cost-effectiveness while maintaining relationships with suppliers. Daily bookkeeping tasks will be performed using QuickBooks, including accounts payable/receivable and invoicing, while assisting in the preparation of financial reports and budgets. You will coordinate meetings and handle logistics for trade shows, as well as support the sales team with lead management and marketing efforts. This position requires strong organizational skills, the ability to multitask, and excellent communication skills, both written and verbal. Responsibilities

  • Monitor and process incoming and outgoing orders through EDI.
  • Ensure accurate and timely data entry of orders and resolve any discrepancies.
  • Liaise with vendors and customers to troubleshoot and resolve EDI-related issues.
  • Provide exceptional customer service by responding to inquiries and resolving issues.
  • Manage customer accounts, including order processing, tracking, and follow-up.
  • Maintain accurate records of customer interactions and transactions.
  • Help manage procurement of goods and services, ensuring timely delivery and cost-effectiveness.
  • Maintain relationships with suppliers and handle accurate communication to prevent discrepancies.
  • Track inventory levels and help reorder products as needed.
  • Perform daily bookkeeping tasks using QuickBooks, including accounts payable/receivable and invoicing.
  • Assist in the preparation of financial reports and budgets.
  • Ensure compliance with financial policies and procedures.
  • Work closely with the CEO to manage daily tasks, prioritize projects, and ensure efficient workflow.
  • Coordinate meetings, appointments, and handle trade shows logistics.
  • Prepare reports, presentations, and other documents as required by the CEO.
  • Assist the sales team with lead management, customer outreach, and order processing.
  • Support marketing efforts by coordinating campaigns, managing social media accounts, and preparing marketing materials.
  • Track and analyze sales and marketing data to identify trends and opportunities.

Requirements

  • Bachelor's degree in Business Administration, Operations Management, or a related field.
  • Proven experience in an operational role, preferably with EDI, customer support, and purchasing.
  • Proficiency in QuickBooks and Microsoft Office Suite.
  • Strong organizational and multitasking skills.
  • Excellent communication skills, both written and verbal.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Experience with e-commerce sales platforms is highly desirable.
  • Experience supporting C-level executives is a plus.
  • Knowledge of sales and marketing practices is an advantage.
