ReliaQuest is currently seeking an Operations Specialist to support our office in various administrative tasks and projects related to prospects, customers, employees, and guests. This role is crucial in ensuring that our brand is well represented and executed through a high-quality, high-touch experience for anyone that comes through our doors. The ideal candidate will be a passionate self-starter with a service-minded attitude, ensuring that the office runs smoothly and taking pride in the overall execution, flow, cleanliness, and tidiness of the office. The Operations Specialist will be responsible for developing office standards and guidelines that focus on providing a consistent and high-quality experience for prospects, customers, and employees. This includes performing front desk and reception duties, such as greeting visitors, assisting with their location logistics, and answering and directing phone calls. The individual will welcome customers, guests, and candidates to the office, guiding them through the check-in process and executing a warm handoff. Additionally, the Operations Specialist will coordinate and support onsite customer and prospect meetings, as well as innovation center sessions. They will assist with office layout planning, office moves, and ongoing modifications or enhancements. Managing supplies inventory, ordering company-provided meals, and organizing office events and functions will also be part of their responsibilities. The role requires providing administrative support, including scheduling meetings, maintaining calendars, conducting research, and creating reports. Effective communication with property management, staff, and vendors is essential to ensure adherence to protocols across all touchpoints. The Operations Specialist will also be responsible for receiving and sorting incoming mail and deliveries, managing outgoing mail, coordinating travel arrangements, and supporting cross-functional projects and ongoing tasks.

Responsibilities

  • Develop office standards and guidelines focused on a high-quality, consistent prospect, customer, and employee experience.
  • Perform front desk and reception duties, including greeting visitors and assisting with their location logistics.
  • Answer and direct phone calls.
  • Welcome customers, guests, and candidates to the office and guide them through the check-in process.
  • Coordinate and support onsite customer and prospect meetings and innovation center sessions.
