About the position

The Operations Specialist will work under the direct supervision of the Passport Support Manager, assisting with various administrative tasks and compiling reports as needed. This role is critical in ensuring the smooth operation of the office and involves a variety of responsibilities that support the overall mission of the organization. Due to the nature of the government contract requirements, U.S. Citizenship is mandatory, and the selected candidate must be able to frequently lift and carry up to 45 lbs. The position may also require long hours of standing, and the candidate should be prepared to stand and walk around the worksite for the entirety of their shift. The work is primarily located in the Montgomery, AL office, with some duties performed at the client site in Atlanta, GA. The Operations Specialist's anticipated tasks include entering information into various databases, loading pallets and packages into transportation vehicles, receiving incoming shipments, and maintaining a clean and organized warehouse environment. The role also involves performing physical inventories, handling correspondence, assisting in supply orders, and fulfilling daily order requests. The candidate will be responsible for verifying customer address documentation, preparing procurement actions, and performing various administrative tasks such as data entry, printing, scanning, and mailing. This position requires a strong attention to detail and the ability to manage multiple tasks efficiently while adhering to strict security and internal control standards.

Responsibilities

  • Enter information into various databases, including customer addresses and accountable supplies.
  • Load pallets and individual packages into FedEx, UPS, USPS, or other transportation carrier vehicles.
  • Receive all incoming shipments via UPS, FedEx, USPS, or other carriers.
  • Offload/move heavy materials from the office utilizing either an electric or manual pallet jack.
  • Maintain a clean, organized, and safe warehouse environment, free of debris or other obstacles.
  • Perform a physical inventory of all GFE on a monthly basis and track the usage and allocation of items daily.
  • Handle incoming phone calls, emails, or written correspondence.
  • Assist in supply orders and fulfill daily order requests.
  • Palletize containers for pickup and stock supplies for general use.
  • Verify that customer address documentation matches the UPS customer database before shipment.
  • Prepare procurement actions and documentation as ARIBA requests, GSA purchases, and GSA Advantage with guidance from Government management.
  • Perform data entry, printing, scanning, laminating, binding, faxing, mailing, packing, sealing, and taping envelopes and boxes after verifying that contents are correct.

Requirements

  • High School diploma or GED.
  • Two (2) years of general office experience.
  • Two (2) years of warehouse experience.
  • Two (2) years of experience utilizing a variety of office software, specifically MS Word, MS PowerPoint, MS Excel, and MS Outlook.
  • Ability to lift and transport up to 1000 lbs. via air jack.
  • Ability to manually lift and transport up to 45 lbs.
  • Good attention to detail and excellent customer service skills.
  • Capable of performing repetitive tasks such as lifting, bending, stooping, walking, standing, sitting, reaching, pushing carts, moving objects, twisting, sealing envelopes, unpacking/packing/taping/moving boxes, filing, and reading.
  • Good data entry skills and filing/retrieval skills.
  • Ability to work in one place and traverse the office/warehouse/storage areas on a continuing basis.

Nice-to-haves

  • Experience with government contracts and security clearance processes.
  • Familiarity with ARIBA and GSA purchasing systems.
