About the position

As an Operations Specialist at American Water, you will play a crucial role in providing operational, administrative, analytical, and technical support to the Field and Production departments. This position is designed for individuals with operational, administrative, and analytical experience who are eager to contribute to the efficiency and effectiveness of our services. Your responsibilities will include assisting supervision with scheduling work, briefing employees, completing tasks, and communicating with other departments. You will also handle customer inquiries and assist with fieldwork, which may involve pick-up and delivery tasks, assessing repairs made by contractors, and completing related paperwork. The role requires a proactive approach to problem-solving and a commitment to safety and compliance with regulatory requirements. In this position, you will coordinate or review operations processes and practices, assist in developing tactical plans for the team, and manage operational workflow requests and work orders. You will enter data and perform analysis in information systems, schedule daily operational work based on priorities outlined by operations leadership, and respond to customer inquiries by gathering information and explaining company processes. Additionally, you will prepare, analyze, and evaluate reports on various items, including variances related to specific department work processes, regulatory requirements, budgets, and organizational performance. Your role will also involve providing general administrative support for day-to-day managerial and departmental needs, which may include composing correspondence, obtaining permits, preparing meeting minutes, processing expenses, and initiating purchasing transactions. Collaboration with other functions to optimize business performance and customer satisfaction is essential, as is contributing to effective communication and fostering a positive work environment. You will assist with training and development, instilling safe work practices, and ensuring compliance with regulatory and environmental standards. Furthermore, you will monitor and maintain inventory control, evaluate inventory levels, and work with vendors to resolve discrepancies.

Responsibilities

  • Assist with training and development, instilling safe work practices and compliance activities.
  • Audit work zones and operations facilities for safety and compliance.
  • Monitor and maintain inventory control, evaluate inventory levels, and reorder as necessary.

Requirements

  • Minimum 2 years overall operations experience.
  • High school diploma or equivalency required.
  • Associate's degree in business or related field of study preferred.
  • Demonstrated organization ability and administrative skills.
  • Effective communication skills, both verbal and written.
  • Demonstrated ability to manage and prioritize tasks.
  • Effective problem-solving and analytical ability.
  • Thorough understanding of standard business practices and principles, including basic accounting and budgeting.
  • Strong knowledge of computers, particularly Microsoft Office Suite, especially Microsoft Excel.
  • Understanding of safety and regulatory requirements.
