About the position

The Operations Specialist role at Megatel Homes involves providing operational and administrative support to the sales team, ensuring efficient daily business practices and processes. The position serves as a primary contact for custodian issues, assists in preparing marketing materials and proposals, and maintains documentation procedures. The specialist will also manage client information in CRM systems, facilitate travel arrangements, and handle various special projects as assigned.

Responsibilities

  • Provide operational and administrative support to sales team personnel in daily business practices and processes.
  • Act as a primary point of contact for custodian issues and concerns.
  • Assist in preparing relevant paperwork, marketing materials, and proposals for prospective advisor and client meetings.
  • Maintain written procedures for documentation requirements and processes.
  • Initiate monthly processes of investor accounting deliverables: interests, distributions, trade welcome letters, and other such processes.
  • Report positions and activities to custodians, including AIP/DTCC reporting.
  • Facilitate quarterly redemption requests for fund investors and coordinate with the accounting department.
  • Maintain key client information in CRM and reporting systems.
  • Manage individual client web portals and assist clients on the relevant capabilities and services.
  • Facilitate travel arrangements for attendees to due diligence events in the home office.
  • Perform other duties, assignments, and special projects as assigned.

Requirements

  • Bachelor's degree
  • 2-4 years of client data operations in a financial services retail or other database administration environment.
  • Demonstrated organizational and project management skills; ability to manage multiple responsibilities and changing priorities.
  • Exceptional listening, written and verbal communication, and relationship-building skills.
  • Working knowledge and experience with Salesforce.com CRM database.
  • Excellent skills in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent skills in data control, administration, maintenance, and reporting.
  • Ability to recognize escalation situations and promptly report issues appropriately.
  • Highest level of integrity and confidentiality skills.
  • Identifies and resolves problems promptly.
  • Gathers and analyzes information skillfully.
  • Excellent customer service skills.
  • Time management to meet deadlines.
