About the position

The Operations Specialist at New Jersey American Water plays a crucial role in providing operational, administrative, analytical, and technical support to the Field and Production departments. This position is designed for individuals with operational, administrative, and analytical experience who are eager to contribute to the efficiency and effectiveness of the utility's operations. The Operations Specialist will assist in various tasks, including scheduling work, briefing employees, and communicating with other departments to ensure smooth operations. This role may also involve fieldwork, such as pick-up and delivery tasks, assessing repairs made by contractors, and handling inquiries from the Public Utility sector. In this position, the Operations Specialist will coordinate and review operational processes and practices, assisting in the development of tactical plans for the team. They will be responsible for receiving and distributing operational workflow requests and work orders, entering data, and performing analysis in information systems. Scheduling daily operational work based on priorities set by operations leadership is a key responsibility, as is responding to customer inquiries, which may involve gathering information from operations leadership and explaining company processes to customers. Additionally, the Operations Specialist will prepare, analyze, and evaluate reports on various items, including variances related to specific department work processes, regulatory requirements, budgets, capital expenditures, and overall departmental performance. General administrative support for day-to-day managerial and departmental needs will also be part of the role, which may include composing correspondence, obtaining permits, preparing meeting minutes, processing expenses, and initiating purchasing transactions. The Operations Specialist will work collaboratively with other functions to optimize business performance and enhance customer satisfaction, reinforcing leadership activities and decisions throughout the organization.

Responsibilities

  • Coordinate or review operations processes and practices and assist in developing tactical plans for the team.
  • Receive and distribute operational workflow requests and work orders.
  • Enter data and perform analysis in information systems.
  • Schedule daily operational work based on priority outlined by operations leadership using work management system.
  • Respond to customer inquiries, which may include gathering information from operations leadership, speaking with customers, and explaining company processes.
  • Prepare, analyze, and evaluate reports on a wide variety of items including variances related to specific department work processes, regulatory requirements, budgets, capital expenditures, work orders, departmental and/or organizational performance.
  • Provide general administrative support for day-to-day managerial and departmental needs and special projects, which may include composing correspondence, obtaining permits, preparing and distributing meeting minutes, processing purchasing card and fleet related expenses, initiating purchasing transactions, document preparation.
  • Work collaboratively with other functions to optimize business performance and customer satisfaction.
  • Reinforce leadership activities and decisions.

Requirements
