About the position

The Operations Specialist role at Kixie is designed for detail-oriented individuals who thrive in a fast-paced tech startup environment. This position focuses on managing financial processes such as refunds and disputes, maintaining accurate databases, and collaborating with various teams to ensure operational efficiency. Responsibilities

  • Process refunds and manage disputes, ensuring all steps are followed accurately.
  • Maintain and update our internal database, ensuring that records are accurate and up to date.
  • Collaborate with the customer success, sales, revenue, and operations teams to handle escalations and resolve issues.
  • Conduct financial reconciliations and support accounting-related processes.
  • Assist with cross-departmental communication to ensure operational processes are smooth and efficient.
  • Document, organize, and streamline workflows and processes to improve efficiency and support scaling operations.
  • Identify opportunities for process improvement and collaborate with stakeholders to implement solutions.
  • Provide support to internal teams, ensuring they have the operational resources needed to succeed.

Requirements

  • 1-2 years of experience in an operational or administrative role, preferably with a focus on accounting, finance, or process management.
  • Strong attention to detail and a passion for accuracy.
  • Ability to follow and refine structured processes.
  • Experience handling financial processes like refunds, disputes, or database adjustments.
  • Proficiency in Google Sheets, Excel, or other data management tools; experience with CRM systems (e.g., HubSpot, Salesforce, Zoho) is a plus.
  • Strong communication skills, with the ability to collaborate across teams and work with both technical and non-technical stakeholders.
  • Ability to thrive in a fast-paced, startup environment and contribute to the company's growth.

Nice-to-haves

  • Bachelor's degree in accounting, finance, business administration, or a related field.
  • Experience with dispute resolution or reconciliation processes.
