About the position

The Operations Specialist at CASA is responsible for ensuring the optimal operation of the facility by managing maintenance and repair of various systems, including mechanical, electrical, plumbing, and HVAC. This role involves overseeing daily operations, coordinating with vendors, and maintaining safety and compliance standards. The position requires excellent customer service skills and a commitment to supporting the organization's mission of helping children and youth in foster care.

Responsibilities

  • Responsible for day-to-day operations of the CASA Campus.
  • Coordinating with the Vice President of Finance and Operations to implement building maintenance projects.
  • Coordinating and documenting regular facilities inspections to ensure compliance with state and federal guidelines.
  • Coordinating the maintenance and repairs of mechanical, electrical, plumbing, janitorial and HVAC systems with third party vendors.
  • Coordinating maintenance and repairs for the alarm system and security gates.
  • Managing relationships with facility vendors and contractors.
  • Verifying work by vendors and contractors is completed satisfactorily and receives appropriate approval.
  • Adhering to CASA's Procurement policy in securing cost quotes from vendors and other procurement purchases.
  • Ensuring safety, security and emergency preparedness procedures are followed by all.
  • Supporting Front Desk operations when needed by answering phones, greeting visitors and assisting Volunteer Advocates.
  • Assisting in securing the building and following all closing procedures at the end of workdays.
  • Completing all required training by designated deadlines and participating in a minimum of 12 hours of ongoing education per year.
  • Assisting with all other duties as assigned.

Requirements

  • A high school diploma or GED is required.
  • Two years minimum of office or facility operations experience required.
  • Experience working with Microsoft Office products required.
  • Ability to work both independently and in a team environment.
  • Ability to communicate effectively both written and verbally.
  • Excellent customer service skills.
  • Organized and able to multi-task projects, assignments, and priorities.
  • Good analytical/critical thinking skills.
  • Good project management skills.
