About the position

The Operations Specialist at American Jewish World Service (AJWS) plays a vital role in maintaining safe and productive workspaces across all AJWS locations. This position is essential for providing efficient support to the organization, ensuring that facilities are well-maintained and operational needs are met. The role involves a combination of facilities management, site security, and administrative services, reporting directly to the Director of Risk Management.

Responsibilities

  • Assist in the implementation of maintenance and repair needs at the AJWS NY office.
  • Perform light maintenance work around the office including installing keyboard trays and replacing light bulbs.
  • Coordinate fire extinguisher inspection, HVAC repairs, and water cooler repairs.
  • Monitor security systems and respond to emergencies as needed.
  • Process invoices from vendors for payment and assist in preparation of documents for off-site storage.
  • Manage the Facilities budget and ensure timely completion of all AJWS insurance renewal applications.

Requirements

  • B.A. degree or an equivalent combination of education and experience.
  • 1+ years of experience in facilities management and basic administrative support.
  • Ability to function well in a fast-paced work environment and respond to multiple requests for assistance simultaneously.
  • Strong computer skills including Microsoft Office (Word, Excel, PowerPoint).
  • Excellent interpersonal and communication skills, with a flexible and collaborative spirit.

Nice-to-haves

  • Ability to move, transport, position, put, install or remove items weighing up to 50 lbs.
  • Experience using communication systems like projectors and audio-visual devices.
