About the position

The Branch Operations Specialist plays a crucial role in the efficiency and success of the branch, impacting billing, invoicing, and communication. This position serves as the first point of contact for incoming calls and is responsible for managing various administrative tasks that contribute to the profitability of the branch.

Responsibilities

  • Coordinate branch activities and manage day-to-day operations.
  • Answer and direct incoming phone calls.
  • Assist new hires with general questions and escalate issues to management or HR as necessary.
  • Create purchase orders (POs) for new customers.
  • Collect payments owed to the business by making calls.
  • Enter and create customer work authorizations and POs.
  • Review incoming paperwork for accuracy and completeness.
  • Enter daily billing for branch jobs and perform month-end closing tasks.
  • Maintain equipment information and complete crew sheets for branch jobs.
  • Scan, copy, and file documents as needed.
  • Answer vendor and customer inquiries.

Requirements

  • High School Diploma or equivalent education.
  • 2 years of customer service experience or equivalent work experience.
  • Proficiency in computer and computation skills.
  • Strong verbal communication skills.
  • Ability to meet deadlines and manage time effectively.
  • Attention to detail and organizational skills.

Nice-to-haves

  • Experience with invoicing and billing processes.
  • Familiarity with service order management.
