About the position

The Operations Specialist assists the staff, students, and liaisons for the Office of Undergraduate Scholarships with day-to-day operations, including, but not limited to, general office support such as assisting with scholarship inquiries, database management, coordinating award timelines, managing budget allocations, and campus training. The specialist also attends recruitment events as needed.

Responsibilities

  • Provide direct administrative support to the Director and Assistant Director of Operations in daily responsibilities and special projects.
  • Conduct scholarship audits with internal and external liaisons to maintain university compliance.
  • Monitors and supports the scholarship awarding database system.
  • Provide technical and administrative support for the complete awarding cycle for all scholarships.
  • Designs and schedules scholarship workshops and system training for awarding liaisons.
  • Maintains and/or increases technical knowledge through coursework, workshops, seminars, readings, and cross-training.
  • Supports students, staff, and visitors by resolving award discrepancies and issues.
  • Performs other duties as assigned.

Requirements

  • Associate or bachelor's degree in business, communications, higher education administration, or related field from an accredited college or university.
  • 1-2 years of experience in higher education or related experience, or equivalent combination of education and experience.
  • Strong communication skills, both written and verbal.
  • Proficiency with a PC and keyboard to perform data entry, including basic knowledge of Microsoft Office and Adobe Acrobat software.
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
  • Ability to write routine reports and correspondence in Microsoft Office.
  • Ability to maintain cooperative relationships with colleagues.
  • Excellent interpersonal, organizational, oral and written communication skills.
  • Ability to exercise discretion, confidentiality, and judgment in sensitive issues.

Nice-to-haves

  • Master's degree in business, communications, or related field from an accredited college or university.
  • 1-2 years of related experience or equivalent combination of education and experience.
  • Experience working in academia.
  • Knowledge of SOAR, SOARFIN, SOARHR, and Radius.
