About the position

The Operations Specialist at BlueForge Alliance will play a crucial role in supporting the Administrative Operations team by leveraging AI and other technological tools. This position involves planning, coordinating, and executing projects that align with the organization's mission to enhance the defense industrial base. The specialist will collaborate with leadership and cross-functional teams to ensure seamless project execution from inception to completion, while upholding the organization's values of belonging, selfless service, integrity, leadership, respect, and excellence.

Responsibilities

  • Assist in planning, scheduling, and coordinating project activities across multiple initiatives.
  • Collaborate with project managers to create project plans, assign tasks, set timelines, and define deliverables.
  • Work with technical experts to break down complex programs into manageable tasks and subtasks.
  • Utilize AI and other tools to prepare and present KPIs for executive review.
  • Prepare and present white papers, committee charters, and project documentation for targeted audiences.
  • Track project progress and report key metrics to executives and leadership.
  • Lead and coordinate Remote BlueForger bi-weekly engagement meetings.
  • Serve as primary contact for CAO projects, facilitating smooth communication and coordination of activities.
  • Coordinate and develop Annual Operating Plan and budget, including regular status updates and meetings.
  • Collaborate with relevant teams to ensure timely submission of deliverables and compliance with government regulations.
  • Ensure adherence to all internal and external compliance requirements.
  • Assist in the preparation of project documentation required for audits and client reports.
  • Maintain project records, documents, and communications in accordance with organizational protocols.
  • Conduct ongoing gap analysis and provide recommendations for more efficient planning and execution.
  • Support identification and implementation of best practices and lessons learned from completed projects.

Requirements

  • Bachelor's degree in Business Administration, Project Management, Engineering, or a related field.
  • 2-5 years of experience in administration or supporting project management or program coordination.
  • Strong organizational and time-management skills to manage multiple tasks and priorities effectively.
  • Excellent communication, presentation, and interpersonal skills.
  • Proficiency in using AI technology, project management software, and Microsoft Office Suite (Excel, Word, PowerPoint).
  • Ability to develop and monitor budgets.
  • Strong attention to detail and problem-solving skills.

Nice-to-haves

  • Project Management Professional (PMP) certification or Certified Associate in Project Management (CAPM) is a plus.
