About the position

The Operations Support Coordinator plays a vital role in supporting the Adult Learning area at Fresno Pacific University. This position involves event planning, desktop publishing, database management, and providing administrative support. The coordinator will organize in-person and online orientations, workshops, and other events, while also managing communications and newsletters for students and faculty. The role requires collaboration with university colleagues and local partners to ensure successful event execution and effective communication within the Adult Learning community.

Responsibilities

  • Plans and implements degree completion orientation program, including multiple events, student communications, and Canvas Learning Management system modules, in collaboration with university colleagues
  • Provides grant-writing support and project management for orientation funding applications
  • Pulls admitted and newly enrolled student reports from Ellucian Colleague
  • Publishes and sends degree completion orientation campaigns and related communications
  • Plans and implements workforce events and advisory board meetings
  • Maintains the Adult Learning partner database
  • Publishes and sends Adult Learning partner and advisory board newsletters
  • Assists with the creation of employer partnership agreements
  • Supports labor market research
  • Publishes and sends the Adult Learning newsletter to Adult Learning faculty and staff
  • Provides administrative support for the Associate Provost for Adult Learning and the Associate Provost for Engagement and Inclusive Teaching & Learning
  • Supports logistical coordination for projects, including scheduling appointments and meetings, reserving rooms, and resolving scheduling conflicts
  • Creates and maintains systems and routines including coordination of file sharing, file naming conventions, and necessary communications for the associate provosts
  • Schedules, arranges, and prepares for meetings, including but not limited to preparing content, assisting in visual presentations, distributing necessary meeting materials, maintaining minutes of meetings for associate provosts, and keeping track of action items
  • Coordinates and creates correspondence, drafts letters and communications for a broad range of audiences and assists with follow-up communications for the associate provosts
  • Prepares and submits credit card reports monthly for the associate provosts
  • Coordinates travel plans and accommodations for the associate provosts, including approved conference registrations
  • Assists in the development of budgets and coordinates the budget process with all budget managers
  • Fosters collaborative relationships with other departments across campus and serves as a direct liaison between the associate provosts and other departments, offices, and schools throughout the university
  • Provides support at university events including, but not limited to, commencement, convocations, holiday related events, and others as needed
  • Completes tasks timely with work that is comprehensive, complete, and accurate
  • Communicates clearly, listens attentively, and seeks to understand others
  • Collaborates productively with colleagues of varying skillset
  • Other job duties as assigned

Requirements

  • Experience in Microsoft Office, including Word, PowerPoint, Excel, and Outlook
  • Customer service orientation and ability to communicate effectively in a warm, professional manner
  • Ability to take initiative and work independently as well as to work collaboratively with a wide range of constituents
  • Strong verbal and written communication skills
  • Strong organizational skills
  • Ability to recognize confidential information and to keep such data confidential
  • Ability to work in a fast-paced environment and respond to changes in a timely manner.

Nice-to-haves

  • 2 or more years of progressively responsible administrative experience preferred
