About the position

The Operations Support Coordinator at FTC Group is a vital role responsible for managing day-to-day operations, ensuring smooth communication and task management across the company. This position requires a highly organized and tech-savvy individual who thrives in a fast-paced environment, excels in problem-solving, and is dedicated to improving processes. The coordinator will serve as a key point of contact, coordinating schedules, organizing travel, and overseeing company-wide software, all while maintaining professionalism and attention to detail.

Responsibilities

  • Manage calendars, schedule meetings, and coordinate appointments, ensuring efficient time management.
  • Act as the first point of contact for the team, screening and handling communications and requests as appropriate.
  • Coordinate travel arrangements, including flights, accommodation, and itineraries, with attention to detail.
  • Prepare, edit, and review documents, reports, presentations, and correspondence on behalf of the team.
  • Liaise with internal teams and external stakeholders to manage information flow, ensuring effective communication.
  • Plan and organize meetings, events, and conferences, including preparation of agendas and taking minutes.
  • Handle confidential and sensitive information with discretion.
  • Support project management by tracking deadlines, tasks, and action items for ongoing initiatives via Jetpack.
  • Conduct research and compile data to assist in decision-making and project development.
  • Oversee and manage company software systems (G-suite, Practice Protect, Jetpack, Microsoft 365, Dropbox, etc.).
  • Ensure all employees are up to date with company news, events, and important updates.
  • Lead efforts to recognize and celebrate staff achievements and contributions.
