About the position

The Operations Support Coordinator at Fresno Pacific University plays a crucial role in supporting the Adult Learning area through various administrative tasks, event planning, and communication efforts. This position is responsible for organizing in-person and online events, managing databases, and providing essential support to the Associate Provosts. The coordinator will also engage with students, faculty, and local partners to ensure effective communication and collaboration within the university's mission and values.

Responsibilities

  • Plan and implement degree completion orientation programs, including multiple events and student communications.
  • Provide grant-writing support and project management for orientation funding applications.
  • Pull admitted and newly enrolled student reports from Ellucian Colleague.
  • Publish and send degree completion orientation campaigns and related communications.
  • Plan and implement workforce events and advisory board meetings.
  • Maintain the Adult Learning partner database.
  • Publish and send Adult Learning partner and advisory board newsletters.
  • Assist with the creation of employer partnership agreements.
  • Support labor market research.
  • Publish and send the Adult Learning newsletter to Adult Learning faculty and staff.
  • Provide administrative support for the Associate Provost for Adult Learning and the Associate Provost for Engagement and Inclusive Teaching & Learning.
  • Support logistical coordination for projects, including scheduling appointments and meetings, reserving rooms, and resolving scheduling conflicts.
  • Create and maintain systems and routines including coordination of file sharing and necessary communications for the associate provosts.
  • Schedule, arrange, and prepare for meetings, including preparing content and maintaining minutes of meetings for associate provosts.
  • Coordinate and create correspondence, draft letters and communications for a broad range of audiences.
  • Prepare and submit credit card reports monthly for the associate provosts.
  • Coordinate travel plans and accommodations for the associate provosts, including approved conference registrations.
  • Assist in the development of budgets and coordinate the budget process with all budget managers.
  • Foster collaborative relationships with other departments across campus and serve as a direct liaison between the associate provosts and other departments.

Requirements

  • Experience in Microsoft Office, including Word, PowerPoint, Excel, and Outlook.
  • Customer service orientation and ability to communicate effectively in a warm, professional manner.
  • Ability to take initiative and work independently as well as collaboratively with a wide range of constituents.
  • Strong verbal and written communication skills.
  • Strong organizational skills.
  • Ability to recognize confidential information and to keep such data confidential.
  • Ability to work in a fast-paced environment and respond to changes in a timely manner.

Nice-to-haves

  • Bachelor's degree
  • 2 or more years of progressively responsible administrative experience preferred.
  • Prior experience in a university setting.
