About the position

At TruTeam, we are seeking an energetic operational support professional to join our busy branch office. This role is ideal for someone who enjoys wearing multiple hats and is committed to managing day-to-day operations with a focus on efficiency and time management. As part of our diverse and inclusive team, you will be responsible for a variety of tasks that are crucial to the smooth functioning of our branch. Your responsibilities will include ensuring compliance in purchasing, accounting, credit and collections, IT, and overall administrative requirements. You will also play a key role in Human Resources administration and employee relations programs, making sure that our workplace remains a great place to work. In this position, you will manage records and information, perform accounting and financial analysis, and monitor credit and collections activities. You will be responsible for the daily conversion of quotes to work orders, reviewing and approving vendor invoices, and providing HR administrative assistance to management teams. Encouraging and improving cross-department internal communication will also be a significant part of your role. Additionally, you will perform general office tasks such as replenishing office supplies, distributing mail, and custodial duties. This position may also include any other duties, tasks, or responsibilities as assigned by management.

Responsibilities

  • Manage day-to-day operations of the branch office.
  • Ensure compliance in purchasing, accounting, credit/collections, IT, and administrative requirements.
  • Handle Human Resources administration and employee relations programs.
  • Manage records and information effectively.
  • Perform accounting and financial analysis as needed.
  • Monitor credit and collections activities.
  • Oversee the daily conversion of quotes to work orders.
  • Review and approve vendor invoices.
  • Provide HR administrative assistance to management teams.
  • Encourage and improve cross-department internal communication.
  • Perform general office tasks such as replenishing office supplies and distributing mail.
  • Complete any other duties or tasks as assigned.

Requirements

  • Minimum of 18 years of age.
  • Valid driver's license required if operating a Company Vehicle.
  • Previous experience in administrative services or related fields.
  • Detail-oriented with the ability to prioritize and manage a variety of tasks.
  • Strong leadership qualities.

Nice-to-haves

  • Bi-lingual English/Spanish (preferred)
