About the position

The Operations Support Specialist position is located within the Field Operations Directorate at the USCIS Seattle Field Office. This role is crucial for providing a variety of management services that are essential to the effective direction and operation of the USCIS. As an Operations Support Specialist, you will assist management in administering policies and procedures, while also providing guidance and instruction to fellow employees. The position requires a proactive approach to problem-solving and the ability to communicate effectively with various levels of staff and management. In this role, you will utilize various software packages, including word processing, spreadsheets, and databases, to create, edit, print, and retrieve files. You will be responsible for establishing and maintaining files, ordering routine equipment and supplies, developing standard operating procedures (SOPs), and drafting and editing correspondence. Additionally, you will ensure the accuracy of logs and records to support property management or inventory control, which is vital for the smooth operation of the office. Your responsibilities will also include collecting, compiling, and submitting information for reports, analyzing data, and assisting in decision-making processes. You will play a key role in locating and selecting the appropriate administrative procedures or technical instructions for others to perform their work effectively. This position is designed for individuals who are detail-oriented, organized, and capable of working independently while also being a team player.

Responsibilities

  • Utilize various software packages to create, edit, print, and retrieve files.
  • Establish and maintain files, order routine equipment, supplies, and services.
  • Develop standard operating procedures (SOPs) and draft/edit correspondence.
  • Ensure accuracy of logs and records to support property management or inventory control.
  • Communicate verbally with various levels of employees and management to obtain and provide information.
  • Collect, compile, and submit information for reports, analyze data, and assist in decision-making.
  • Assist in locating and selecting the proper administrative procedure or technical instruction for others.

Requirements

  • Must be a U.S. Citizen or U.S. National to apply for this position.
  • One year of specialized experience equivalent to at least the GS-05 level in the federal government.
  • Experience in compiling and updating budget data on spreadsheets for budget requests.
  • Experience in drafting/preparing personnel action requests for hiring managers.
  • Experience in tracking promotion eligibility dates of employees using a database.
  • Experience in collecting information related to workflow, office procedures, and control systems for program evaluations.
  • Experience in documenting the usage of government motor vehicles by employees.
  • Experience in responding to routine questions concerning administrative procedures/requirements.
  • Experience in partnering with managers and employees to resolve clerical/administrative challenges.

Nice-to-haves

  • Completion of one year of full-time graduate education from an accredited college or university.
  • Superior academic achievement in a Bachelor's degree program.
