About the position

The Ophthalmic Clinic Scribe at Retina Consultants of Texas is responsible for providing accurate documentation and summarization of ocular examinations and recommendations while maintaining patient flow and communication within a high-volume practice. The role involves working exclusively within the EMR system to support providers during patient interactions and requires travel to multiple clinics as needed. The position operates Monday to Friday, with potential weekend hours available.

Responsibilities

  • Summarizes and documents physician verbalizations during examinations, including proper charting and timely closing of patient charts.
  • Accurate ICD10 and CPT coding in patient charts.
  • Observes and assists the physician during exams, providing necessary support to patients.
  • Maintains awareness of patient communication and ensures understanding of instructions given by the physician.
  • Documents amendments to patient charts according to practice protocols.
  • Maintains patient flow by confirming insurance authorization prior to treatment.
  • Executes Ophthalmic Technician duties as needed to support clinic operations.
  • Alerts physician to patient-related forms that need completion.
  • Guides patients to the front desk after exams and ensures follow-up appointments are communicated.
  • Evaluates examination room conditions to ensure safety and adequate supplies.
  • Notifies physician of changes to the daily schedule, especially emergencies.
  • Facilitates communication between the physician and other staff members to minimize disruptions.

Requirements

  • High school diploma required; bachelor's degree preferred.
  • At least 6 months experience in a medical office, preferably in ophthalmology.
  • Knowledge of required components of examination for appropriate CPT coding.
  • Understanding of Medicare and insurance requirements for quality reporting.
  • Training in HIPAA requirements and patient confidentiality.
  • Strong interpersonal skills and excellent verbal and written communication.
  • Ability to multi-task and strong organizational skills with attention to detail.
  • Computer literacy and ability to spell accurately while charting.
  • Basic math skills and understanding of medical terminology.

Nice-to-haves

  • Scribe certification (certified ophthalmic assistant) preferred.
  • Fluency in Spanish is preferred.
