About the position

The OPP Operations Coordinator at the Idaho College of Osteopathic Medicine plays a crucial role in providing comprehensive administrative support to the OPP department. This position is designed to assist faculty members with various tasks, including presentations and audiovisual (AV) support, while also managing the distribution of student materials. The coordinator is responsible for coordinating student exams and assignments, entering student information and results into the appropriate ICOM data systems, and managing the overall schedule for the OPP department. This role requires a proactive approach to problem-solving and the ability to handle inquiries effectively. In addition to administrative duties, the OPP Operations Coordinator prepares and monitors exams and quizzes using questions provided by faculty. This includes entering questions into ICOM's exam software, currently ExamSoft and Learning Space, and creating keywords for curriculum mapping. The coordinator also receives students' written homework test questions and distributes them to OPP faculty for review and grading. Furthermore, the coordinator is tasked with entering grades into ICOM's learning management system for various assessments, including exams, practicals, quizzes, and weekly assignments. The role also involves posting and managing course materials, such as videos and lecture materials, from faculty and uploading them into ICOM's learning management system as needed. The coordinator collaborates with faculty to create and build rubrics for grading student practical exams and organizes schedules for OPP practical exams, including room setup, signage, coordinating proctors, and communicating with adjunct faculty. Additionally, the coordinator operates the OPP AV/camera system for weekly labs, films OPP videos for student materials, and edits these videos for posting in the video management system, currently Panopto. As the point of contact for the outward-facing OMT Video Library, the coordinator assists with subscriptions and enrollment, serving as the liaison between the hosting platform and OPP faculty. Technical support is also provided to faculty in the development of materials and AV systems during labs. The coordinator organizes OPP department schedules, meetings, and events, and manages student clinics and outreach, acting as a liaison for the OPP department with other ICOM departments or external entities.

Responsibilities

  • Provide administrative support to the OPP department, managing a broad range of tasks and resolving inquiries.
  • Prepare and monitor exams and quizzes using faculty-provided questions.

  • Post and manage course materials, including videos and lecture materials, in the learning management system.

  • Organize and distribute schedules for OPP practical exams, including room setup and coordinating proctors.
  • Operate the OPP AV/camera system for weekly labs and film OPP videos for student materials.
  • Edit and manage videos for students in the video management system.
  • Assist with subscriptions and enrollment for the OMT Video Library and serve as a liaison between the hosting platform and OPP faculty.
  • Provide technical support to faculty in the development of materials and AV systems during labs.

Requirements

  • Minimum 2 years experience working with databases, preferably in education systems.
  • Previous experience in higher education is preferred.
  • Experience working with student databases is preferred.
  • Exceptional attention to detail and excellent communication skills, both written and oral.
  • Ability to multi-task in a fast-paced environment and prioritize competing demands effectively.
  • Familiarity with AV and camera systems for filming is preferred.
  • Ability to interact with individuals from diverse cultures and professional backgrounds.
