About the position

United Site Services is seeking an Operations Coordinator to join our team in Orlando, Florida. As the industry leader in comprehensive site services, we are committed to creating partnerships that help enable our customers' project and event success. The Operations Coordinator plays a crucial role in ensuring that our transportation activities are communicated effectively to the team, allowing us to meet our service and delivery goals on time. This position involves various aspects of dispatch, including fielding incoming calls from employees and customers, routing drivers, and resolving account/customer issues. In this role, you will be responsible for communicating vital information and instructions to drivers, such as schedules, route changes, and any road conditions or emergencies that may impact their deliveries. You will handle customer call-ins, providing updates on expected delivery and service times, and make outgoing calls to address issues like locked gates or missed services. Supporting drivers during emergencies and coordinating with the customer service department for scheduling deliveries are also key responsibilities. Additionally, you will review driver manifests at the end of the day to ensure all notes are documented and work with drivers to capture delivery and service information accurately. Conducting route check-ins to verify the accuracy of manifest information is essential for proper posting. Keeping the Operations Manager informed about issues and their resolutions is also part of your duties. This position requires strong communication skills, teamwork, and the ability to make decisions and solve problems effectively.

Responsibilities

  • Communicate information and instructions to drivers regarding schedules, route changes, and emergencies.
  • Handle customer call-ins and provide updates on expected delivery/service times.
  • Make outgoing calls to customers regarding issues such as locked gates and missed services.
  • Support drivers during reported emergencies and provide appropriate resources to assist with issues.
  • Work with the customer service department on scheduling deliveries or services.
  • Post route & pick-ups and deliveries and sequence routes as needed.
  • Review driver manifests at the end of the day to ensure documentation is complete.
  • Conduct route check-ins to ensure accuracy of manifest information.
  • Keep the Operations Manager updated on issues and their resolutions.
  • Perform other duties as assigned.
