About the position

The OPS Senior Clerk position is integral to the county-wide immunization program, providing essential clerical support and client registration services. The role requires independent judgment and strong customer service skills, as it involves interacting with a diverse clientele in a fast-paced environment. The clerk will manage client data, assist with immunization billing, and ensure compliance with health department protocols while maintaining confidentiality and accuracy in all tasks.

Responsibilities

  • Perform all aspects of client registration in both HMS and FL Shots with accuracy and completeness.
  • Determine eligibility and financial responsibility for services, obtaining accurate demographic and financial information from clients.
  • Explain the eligibility process to clients and refer them to appropriate public assistance agencies as needed.
  • Process clients efficiently to ensure a consistent flow to immunization nurses.
  • Initiate medical records for new clients in HMS and FL Shots, reviewing data for accuracy and completeness.
  • Schedule, cancel, and reschedule client appointments appropriately.
  • Transcribe immunization records in various languages and provide translation services as needed.
  • Transport registration forms and confidential client information from outreach sites to secured areas.
  • Provide clerical assistance such as data entry, copying, faxing, and filing with accuracy.
  • Participate in departmental meetings, quality assurance, and in-service trainings.

Requirements

  • Strong customer service skills and ability to remain calm under pressure.
  • Experience with data entry and managing confidential information.
  • Knowledge of business practices and ability to apply instructions effectively.
  • Ability to work in a multi-cultural environment and adapt to constant change.
