About the position

The Ops Support Specialist position at the Federal Reserve Bank of San Francisco is a vital role within the Cash operations team, specifically located at the Seattle Processing Center. This position focuses on cash services, particularly coin management and operations support. The successful candidate will be responsible for day-to-day operations, which require excellent oral and written communication skills, leadership capabilities, and the ability to produce quality deliverables. The role demands a proactive approach to managing workload and meeting project timelines, ensuring that all tasks are completed efficiently and accurately. In this position, the Ops Support Specialist will maintain a thorough understanding of specific procedural areas and will be proficient in the software and business applications necessary for supporting Cash operations. The role involves using multiple systems in conjunction with standard office processes, such as ECM, FedLine, USSS, and US Mint. The specialist will work closely with Customer Support to resolve inquiries and will initiate and maintain strong customer service relations with armored carriers, financial institutions, third parties, and other departments within the Federal Reserve Bank. The responsibilities also include serving as the primary records management liaison for the department, ensuring that all Cash Admin documentation is accurate and well-organized. The specialist will complete various accounting entries and reports, manage and balance coin activities, and process daily orders for the Paying Team. Additionally, the role requires effective communication with management and staff, supporting department goals, and participating in workgroups to contribute to continuous improvement initiatives. The position is 100% onsite, with a required work schedule of Monday to Friday from 7:30 AM to 4:30 PM.

Responsibilities

  • Maintain thorough procedural knowledge of specific areas of assignment and maintain proficiency with software and business applications that are needed to support Cash operations.
  • Use multiple systems in conjunction with standard office processes (i.e. ECM, FedLine, USSS, US Mint).
  • Work with Customer Support to resolve inquiries.
  • Initiate and maintain strong customer service relations with armored carriers, financial institutions, third parties, and other FRB departments and offices.
  • Serve as department's primary records management liaison and ensure Cash Admin documentation is accurate, neat, orderly, and legible.
  • Complete Department Accounting Entries.
  • Complete Daily, Weekly and Monthly Reports.
  • Effectively manage and balance all coin activities including mint shipments, coin terminals, and on-site coin.
  • Review and Complete the Daily GL Account Balances.
  • Process and Reconcile Daily Orders for the Paying Team.
  • Provide back up support to Paying Function.
  • Complete End of Day Closeout Duties.
  • Effectively acts as a liaison between management and staff.
  • Supports department goals and communicates them in a positive manner to co-workers.
  • In collaboration with Facilities, monitor inventory for AGV and SRM parts.
  • Make recommendations for improvement to existing processes.
  • Maintain good, supportive relationships and collaboration with colleagues in Cash operations.
  • Participate and contribute in workgroups.
  • Perform other duties as assigned.
