About the position

The Optometry Assistant - Back Office plays a crucial role in supporting patient flow and ensuring a smooth operation within the back office of an optometry practice. This position involves assisting with patient appointments, maintaining communication with the patient care team, and performing various clinical tasks to enhance patient care and experience.

Responsibilities

  • Supports and monitors patient flow in the back office.
  • Scrubs appointments in advance to ensure necessary information is available for patient visit.
  • Assists in the distribution of patients, including walk-ins.
  • Keeps patients informed of wait times and ensures patients are properly flowed in system.
  • Schedules patient appointments and follows up on 'no-show' appointments.
  • Ensures messages and requests are responded to accordingly.
  • Understands general front office workflows and supports the front office when needed.
  • Performs various aspects of patient visit, including reviewing health records and updating clinical information.
  • Obtains vital signs and patient data.
  • Initiates follow-up of specialty care referrals and services per policy.
  • Supports dispensary related functions, including requests for prescription refills and logging of medications.
  • Completes necessary clinical forms required for patient visit.
  • Maintains continuous communication within the patient care team.
  • Performs important medical tests on patients and prepares them for vision examination.
  • Assists in testing for near and far acuity, depth perception, and other visual assessments.
  • Scans relevant documents into the electronic health record system.
  • Performs documentation in the patient's electronic health record according to policy and training.
  • Prepares and stocks exam rooms/lab and monitors inventory for adequate supply.
  • Conducts weekly testing and cleaning of sterilization equipment.
  • Instructs patients in care and use of glasses or contact lenses.
  • Assists patients in frame selection, adjusts and repairs glasses, and modifies contact lenses.

Requirements

  • Possesses work-related skills at a higher level than completion of high school.
  • Two years of Optometry experience preferred.
  • Ability to prepare complex documents in Microsoft Word.
  • Ability to use Microsoft Excel for data review and compilation.
  • Ability to create basic presentations in Microsoft PowerPoint.
  • Valid California driver's license required.
