About the position

The Orchestra Operations Coordinator for the Kennedy Center Opera House Orchestra/Washington National Opera Orchestra plays a vital role in supporting the Director of Orchestra Personnel & Operations, the Orchestra Personnel Manager, and the Music Director. This position requires strong organizational skills and the ability to manage multiple tasks in a fast-paced environment, ensuring smooth operations for rehearsals and performances while maintaining excellent relationships with orchestra members and staff.

Responsibilities

  • Provide administrative support to the Orchestra Management Team, including creating and maintaining necessary documents for the season.
  • Administer the tenure review process for probationary musicians under the guidance of the Director of Orchestra Personnel and Operations.
  • Attend meetings and take accurate minutes, preparing and distributing reports as needed.
  • Assist with revisions and printing of orchestra collective bargaining agreements and related documents.
  • Distribute orchestra-wide emails and information, including ticket offers and payroll information.
  • Request, collect, and distribute parking vouchers for musicians.
  • Maintain KCOHO/WNO bulletin boards with current events and notices.
  • Reserve practice rehearsal space using ArtsVision as requested by musicians.
  • Inventory and monitor supplies in the orchestra lounge and storage.
  • Submit payment requests to the Finance department on behalf of the team.
  • Coordinate shipping and receiving of packages and instruments, and oversee maintenance of harp and timpani.
  • Pick up and distribute musician paychecks weekly.
  • Share responsibility for attending rehearsals and performances, monitoring compliance with agreements, and reporting issues to management.
  • Manage all aspects of chamber-sized events, including coordination with marketing and production departments.
  • Act as team lead for auditions, managing all administrative aspects and ensuring smooth operations during audition days.
  • Maintain and update historical documents and musician contact lists, ensuring confidentiality of all information.
  • Assist the Music Director with scheduling and coordination of meetings.

Requirements

  • Up to 2 years of administrative experience.
  • Knowledge of opera, ballet, musical theater, and symphonic repertoire.
  • Prior experience in artistic operations is highly desirable.
  • Experience working in a union environment preferred.
  • Proficient with email and software programs, including Word, Excel, Outlook, and Access.
  • Candidate must be local or willing to relocate to the DMV area.
