About the position

The Order Entry and Billing Specialist plays a crucial role in the smooth operation of the business by managing customer orders and providing exceptional customer service. This position requires strong analytical and communication skills to handle multiple accounts and ensure accurate order processing.

Responsibilities

• Process customer orders and prepare accurate Purchase Orders in the ERP system.
• Utilize Microsoft Excel with advanced formulas to create effective quotes.
• Manage all aspects of e-commerce orders, including entering, processing, picking, packing, shipping, and reporting.
• Respond to customer inquiries regarding quotes and orders, ensuring timely and professional communication.
• Prepare and follow up on Requests for Quotes (RFQs) for both existing and prospective clients.
• Assist with inventory management tasks and provide general sales and customer service support.
• Answer phone inquiries and provide solutions to customer needs.

Requirements

• Minimum 2 years of experience in a related field, such as supply chain, order entry, or customer service.
• Proven ability to multitask effectively and manage multiple accounts simultaneously.
• Strong analytical skills and proficiency in Microsoft Excel with advanced formulas.
• In-depth knowledge and experience working with QuickBooks Online (essential).
• Excellent communication, interpersonal, and organizational skills.
• Detail-oriented with a commitment to accuracy and efficiency.
• Ability to work independently and as part of a team in a fast-paced environment.

Nice-to-haves

• Basic training or coursework in supply chain, inside sales, customer service or marketing preferred.
• Familiarization with inventory databases/systems a plus.
• Sourcing or purchasing experience a plus.
