About the position

The Order Management Coordinator is responsible for managing customer orders and ensuring efficient communication between internal and external stakeholders. This role involves processing customer inquiries, managing inventory allocation, and generating reports to support logistics and customer service operations.

Responsibilities

  • Interact with internal and external customers to provide and process information in response to inquiries, concerns, and requests about products and services.
  • Manage multiple accounts and categories of business simultaneously.
  • Daily movement and processing of incoming customer demand orders, including system entry of EDI, faxed and emailed account orders, and back-order management.
  • Handle inventory allocation in instances of shortages and work with the customer on DC prioritization in conjunction with the Data Analyst.
  • Interface with customers either by telephone, electronically, or in person.
  • Respond promptly to customer inquiries related to shipping status, pricing issues, logistics, etc.
  • Manage and resolve customer complaints within guidelines.
  • Generate weekly reports to internal and external customers.
  • Manage the order management process from initial request to shipment of product to the customer.
  • Work in conjunction with Logistics to ensure on-time delivery, allocate inventory, repack, and monitor shipping.
  • Interface with Account Coordinator to provide necessary customer information to build and optimize customer demand forecast.
  • Align closely with Data Analyst to work through incoming inventory needs and priorities.
  • Participate in the resolution of invoice issues, interacting with finance on issues such as chargebacks, deductions, discounts, and terms.
  • Assist and complete essential projects as deemed by the Logistics Manager.
  • Maintain Material Master Data and pricing setup in SAP.

Requirements

  • Associate's degree with 2+ years in the customer service field and/or 3-5 years of customer service experience.
  • Customer-centric mindset with the ability to understand customer needs and balance company service limitations.
  • Disciplined, organized, self-motivated, and able to work autonomously while being part of a team.
  • Ability to prioritize work, work under pressure, and act quickly without compromising service quality.
  • Experience in account management, customer service, inventory management, and product development.
  • Proficient in Microsoft Office programs, particularly Outlook, Excel, Word, and PowerPoint.
  • Technical skills with EDI ordering, SAP, and/or MRP operating system experience preferred.
  • Process-oriented with the ability to create and comply with procedures and manage timelines.

  • 8:00am-5:00pm working hours.
  • Pay rate of $18.00 per hour.
