About the position

The Outpatient Receptionist plays a crucial role in managing the front desk operations of a healthcare facility. This position is responsible for providing excellent customer service, handling a high volume of incoming calls, and ensuring that patients and visitors are welcomed and assisted appropriately. The receptionist must maintain professionalism while adhering to HIPAA regulations regarding patient privacy and confidentiality.

Responsibilities

  • Retrieves high volume of incoming calls, screens callers, takes messages and directs to appropriate personnel or department.
  • Ensures professionalism while maintaining excellent customer service.
  • Provides routine information to patients and visitors.
  • Maintains privacy of protected health information (PHI) in accordance with HIPAA.
  • Welcomes on-site patients and visitors, determining the nature of their business and ensuring all policies are followed.
  • Assists in the resolution of complaints and manages requests from patients or visitors.
  • Responds rapidly and appropriately to complaints, initiating de-escalation and remedies or elevating to the appropriate person.
  • Performs clerical duties such as filing, faxing, and photocopying as needed.
  • Maintains work area and lobby in a neat and orderly manner.
  • Attends required meetings and participates in committees as requested.
  • Maintains established hospital policies, procedures, objectives, quality assurance, safety, environmental and infection control.
  • Implements job responsibilities in a manner consistent with the Code of Ethics.

Requirements

  • High school diploma or GED.
  • Excellent customer service skills.
  • Excellent oral and written communication skills.
  • Ability to multitask in a high-pressure environment.
  • Detail-oriented with strong organizational skills.
  • Able to work flexible hours/shifts.
  • Minimum 2-3 years experience working in a fast-paced office or hospital preferred.
  • Demonstrated working knowledge of office software (Excel, Word, Windows, Internet, Outlook).
  • Adept at creative problem-solving.
  • Punctual with a positive attitude.
  • Professional attire is necessary.

Nice-to-haves

  • Experience in a healthcare setting is preferred.
