About the position

Apexon is seeking a Documentation Specialist (Paralegal/Legal Assistant) to join our team in Jefferson City, MO. This full-time position requires a paralegal certificate, a Juris Doctor (JD), or enrollment in an ABA-accredited law school with at least one year of study completed. The ideal candidate will have a minimum of one year of litigation paralegal experience, with trial experience being highly beneficial. The role involves working under the supervision of a Supervisory Paralegal or Project Supervisor, where the individual will be responsible for compiling, preparing, and summarizing relevant materials for attorneys in the discovery process and in the preparation of various legal documents such as motions and briefs. The Documentation Specialist will also be tasked with summarizing depositions and other transcripts, maintaining case files, performing simple legal research, and managing document discovery. This includes indexing, tracking, and controlling documents produced and received during discovery, as well as preparing exhibit cross-references and assisting attorneys in the courtroom. The role requires a thorough understanding of legal citation and familiarity with legal research tools such as LEXIS and Westlaw. Additionally, the candidate must possess excellent written and oral communication skills, as well as proficiency in various computer applications including word processing, databases, and spreadsheets. The position demands the ability to deliver high-quality work under pressure, and familiarity with ESI tools and eDiscovery procedures is essential. Daily responsibilities also include routine document center support functions, maintaining calendars for active cases, and assisting in trial preparation by compiling trial notebooks and preparing jury instructions. The Documentation Specialist will also handle travel arrangements in accordance with Federal Travel Regulations and client policies, ensuring all aspects of travel are managed effectively.

Responsibilities

  • Compiles, prepares, and summarizes relevant materials for use by attorneys in discovery and preparation of legal documents.
  • Summarizes depositions and other transcripts.
  • Maintains case files and performs simple legal research.
  • Indexes, tracks, and controls document discovery, including documents produced and received in discovery.
  • Prepares legal documents using templates, such as motions, memoranda, subpoenas, and discovery documents.
  • Assists attorneys in courtroom and prepares exhibit cross-references.
  • Reviews documents for relevance and privilege according to established guidelines.
  • Provides trial preparation assistance by compiling trial notebooks and preparing jury instructions.
  • Maintains calendar of active cases and schedules appointments and court appearances.
  • Sorts incoming mail and prepares outgoing mail, including packaging boxes for shipment.

Requirements

  • Requires a paralegal certificate, JD, or currently attending an ABA-accredited law school with at least one year of study completed.
  • At least one year of litigation paralegal experience required; trial experience very helpful.
  • Basic legal knowledge, including knowledge of standard legal citation.
  • Experience with legal research tools such as LEXIS and Westlaw.
  • Excellent written and oral communication skills.
  • Thorough knowledge and hands-on familiarity with a variety of computer applications, including word processing, databases, and spreadsheets.
  • Basic familiarity with ESI tools and knowledge of eDiscovery procedures.
